The Program Coordinator reports directly to the Administrative Manager, Division of Teacher Education, as part of a team of support staff serving credential and masters’ programs in the division. Specifically, s/he will serve in the following capacities:

  • Serves as confidential assistant to the one or more Program Directors. This includes:
    1. Assisting with administrative responsibilities within the program, including appropriately preparing correspondence, responding to email, and tracking and following all program-related issues.
    2. Assisting Program Director with troubleshooting student issues and concerns, including student petitions, exceptions, and enrollment issues.
    3. Assisting Program Director in scheduling program courses at the Azusa and regional campuses, and online.
    4. Preparing reports as directed by Program Director or supervisor.
    5. Assisting with special projects as directed by Program Director or supervisor.
  • Serves as liaison between student and Division of Teacher Education. This includes:
    1. Coordinating the student admission process from inquiry through admission for a specific alphabetical portion of the student population.
    2. Communicating with students about program requirements and policies.
    3. Tracking and following student progress through the program
    4. Coordinating with the Office of Credentials to manage the advising schedule/calendar for the program.
    5. Monitoring the status of intern credential holders to ensure correct course enrollment and continuing mentor supervision.
    6. Collaborating with the Office of Student Placements on issues pertaining to clinical practice and fieldwork.
    7. Monitoring and reviewing Taskstream for student completion of program requirements at all transition points.
    8. Confirming student completion of program requirements, providing this information to Program Directors, Credential Analysts, Graduate Registrar, and others at program completion or as requested.
  • Provides support to full and adjunct faculty within the department. This includes:
    1. Coordinating with full and adjunct faculty to ensure timely preparation of adjunct contracts and faculty payment forms as necessary.
    2. Coordinating the beginning and end of term processes to ensure smooth transitions.
    3. Monitoring course enrollment and coordinating course schedule changes with Program Directors and department personnel.
    4. Evaluating textbook needs and coordinating with bookstore on requisitions.
    5. Coordinating with ITT on course needs within Canvas
    6. Processing facility and room requests as needed.
  • Supports program functions within the Division of Teacher Education. This includes:
    1. Creating and maintaining program files and documents, including electronic submissions.
    2. Coordinating and assisting with program workshops, department meetings, trainings, and events.
    3. Attending events, meetings, training and development opportunities as appropriate.
    4. Performing other duties as assigned by the supervisor.

Required Experience
  • Bachelor’s degree required; Masters degree a plus
  • Three to five years related experience in higher education (equivalent experience may be considered)
