Position Summary:

This is a responsible administrative position within the department of University Research Animal Resources within the Office Research unit. The position ensures the accurate and timely processing and submission of several business related functions including animal resources billing, accounts receivable, purchasing, and payroll. Effectively utilizes a number of UGA IT systems to perform all related responsibilities.

Ability to work under limited supervision. Excellent organizational and analytical skills. Previous experience maintaining complex accounting and record-keeping systems. Ability to maintain effective collaborative relationships with faculty, staff, customers, students, and other stakeholders. Proven dependability and self-motivation. Remember, organize, and consistently focus on details, and arrive at appropriate conclusions. Utilize computer technology for all applications in a manner that meets performance expectations. Successful utilization of Microsoft Office suite, Excel. Proficient in UGA programs including, ANOPS, OneSource, UGAMart, and Zoom.

Physical Demands:

Hear, see, speak, and type to communicate effectively via telephone, email, and in person to various stakeholders. Sit for long periods of time and use of repetitive actions during the entire workday. Walk, stand, bend, stoop, push, pull, carry up to 15 lbs., both assisted and unassisted.

Duties/Responsibilities:

Responsible for correct and accurate administration of all financial processes including monitoring and maintaining current records of financial transactions and budgets across a variety of funding sources and departmental account(s). Process financial transactions including but not limited to payment requests, GL/AP journals, and purchase requisitions. Initiate, create, review, modify, and submit all monthly billing for services provided by URAR. Submit invoices for departmental review and approval each month in a timely manner. Work closely with PIs and Business Managers to correct any discrepancies and create Journal entries. Serve as the department expert in the cost accounting software program (AnOps). Maintain accurate information in the system and ensure information is entered correctly. Assist with system development, troubleshooting, and training of staff. Work with programmer in Office of Research Compliance to communicate programming needs. Identify inconsistencies in data and research solutions. Respond to faculty questions regarding use of program. Correct errors in the system.

Duties/Responsibilities:

Procure animals and manage blanket purchase orders. Maintain up-to-date information on animal sources and changes. Work with investigators to assure accurate and timely delivery of animals. Manage the importation of animals from non-approved vendors, as well as, exportation of animals to other universities. Process bill-backs to departments for any orders and/or service fees. Maintain orders placed in UGAmart and ensure invoices are paid.

Serve as primary p-card holder for the Department and apply considerable knowledge of p-card procedures and parameters to support purchase decisions. Adhere to policies and procedures set forth, maintain proper documentation of transactions, and stay up-to-date on training.
