HR Specialist (Academic Personnel Specialist)

Regular Full-time, Market Range 07

Reporting to the Director of Academic Personnel Services in the Office of the Provost, this position will track, review, and process Academic Personnel actions such as faculty searches and faculty appointments.

Job Functions/Responsibilities:

Faculty Appointments

-Advise colleges and departments on tenure track and non-tenure track faculty appointment types, parameters and processes.

-Maintain Faculty Handbook compliance with regards to appointments, escalating issues to the next level.

-Maintain appointment letter templates and consult with Director of Academic Personnel Services and General Counsel on language updates.

-Receive and process request for specialty appointments and titles such as emeritus faculty.

-Receive, review and process appointment paperwork packets. Research issues and make recommendations on how to solve.

-Draft, submit for signature, and send appointment letters using DocuSign or other electronic signature software.

-Maintain appointment tracker and appointment files. Communicate with HR on final appointment packages.

-Receive, review, validate and track transcripts for faculty hires.

-Submit and track background checks for all faculty appointments. Follow up on outstanding cases.

-Work with HR to ensure compliance with faculty hiring contingencies or other new hire issues.

Faculty Searches

-Manage process to receive faculty search requests from colleges on annual basis, track approved searches and update statuses as faculty searches progress.

-Monitor and manage all faculty postings in Interfolio.

-Review faculty position actions prior to Vice Provost approval, work with colleges to correct missing information.

-Consult with Office of Equity and Diversity on faculty search issues and relevant approvals.

-Answer questions and provide "on the spot" training for search committees or college admin staff to answer Interfolio questions.

-Act as resource for best faculty recruiting practices.

-Receive, review, track and process special search approvals such as search exemptions, opportunity and spousal hires.

Faculty Leave

-Receive, review and process faculty leave including Faculty Development Leave, Family Care and Modified Duties

-Act as main point of contact and resource for faculty members and colleges on initial leave questions

Other data tracking and projects

-Track and report on departing faculty including retirements

-Maintain tracker for counteroffers -Assist with special projects such as compliance or accreditation projects

-Assist with other academic personnel processes such as faculty reviews



Qualifications
REQUIREMENTS:

Required level/type of experience:

3 years of experience in an administrative office environment.

Education:

Bachelor's degree or equivalent preferred.

Preferred level/type of experience:

Higher education experience preferred. Experience with HR or academic personnel (faculty) actions preferred.

Competencies/Qualifications:

Excellent and effective oral and written communication to various audiences. Excellent Microsoft Office skills (Outlook, Excel, Word etc). Attention to detail. Ability to organize work, multi-task and manage deadlines. Ability to maintain confidentiality. Ability to provide excellent customer service to campus community.
