The Divisions of Academic Affairs & Student Success at the University of Tennessee are seeking an Administrative Coordinator.

Regular Full-time, Market Range 06

The Administrative Coordinator will have significant responsibility for coordinating events and academic activities that support the daily agenda and operations of the Vice Provost of Student Success (VPSS) and Vice Provost of Academic Affairs (VPAA). The chosen candidate will coordinate communications, events, meetings and retreats on behalf of the VPSS & VPAA including student and staff luncheons, staff retreats, and coordination of public speaking events. The chosen candidate will also organize and coordinate VPSS search committees and the interview process on behalf of the VPSS.

The administrative coordinator for the VPAA & VPSS offices will manage the VPSS and VPAA calendars and schedule meetings as requested or required. The Administrative Coordinator will serve as an initial point of contact for students, faculty, staff, parents, and others who have questions related to academic affairs. The administrative coordinator will provide direct assistance when possible and/or direct inquiries to the appropriate office/person, and send special announcements to students, faculty, and staff. The administrative coordinator will be responsible for arranging travel for the VPSS and VPAA. The administrative coordinator will have access to highly confidential information and will need to maintain confidentiality.

Additional responsibilities include: Maintaining files and records in office and periodically move files to records management; assisting in general office duties in the Office of the Provost and VPAA and VPSS including answering phones, scheduling conference rooms, office organization, and other duties as required; serving as the institutional coordinator for the Academic Common Market and helping to manage the program database and coordinating the review of programs for TN residents wanting to attend other schools. Other general duties as assigned.

Required level of education and experience:


    Associate's Degree and one year of experience in an office setting including managing calendars and event planning.

Preferred level of education and experience:


    Five years of office experience.  Two years experience providing executive level support.  Prior experience in a University setting.
Required skills/knowledge/abilities

  • Excellent written and oral communication skills.
  • Time management and organization with attention to detail a must.
  • Extensive knowledge of Microsoft Office products, especially Outlook, Work, Excel, and SharePoint.
