Administrative Support Aide II

Knox County

Duties/Responsibilities:

 

The County Extension Administrative Support Aide II is directly responsible to the County Director. Time allotment will be approximately 30% Agriculture and Natural Resources; 30% Family and Consumer Sciences and 30% 4-H Youth Development and 10% Community Economic Development. Duties include:

 

  • Provide leadership for a program of activities that meets the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, religion or veteran status.
  • Greet clients and answer telephone requests in accordance with general instructions.
  • Prepare letters, newsletters, certificates, reports, records and other related documents from rough drafts, corrected copy, or recorded media; proofread completed materials and make corrections.
  • Complete event registration in SUPER for all program areas.
  • Enter data for 4-H county enrollment.
  • Create online receipts.
  • Gather and compile information as requested for files or reports.
  • Maintain all administrative departmental, personnel, and financial records using the UT System as well as the hard copy files.
  • Utilize the personal computer programs of Microsoft Office (Word, Excel, Power Point), SharePoint, Quicken, Concur and Outlook Explorer.
  • Inventory, order, account for, and maintain all office supplies and equipment.
  • Compose routine letters and replies based on general instructions.
  • Schedule meetings, reserve meeting rooms, arrange appointments as requested.
  • Stay updated on all Extension Policy and Procedures and other resources.
  • Attend administrative training, seminars, and conferences as needed to perform the job.
  • Assume other duties as assigned.


Qualifications
Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

 

  • Must have a high school diploma, or equivalent.
  • Superior communication skills (written & verbal), ability to work with the public, organizational skills.
  • Proficient in Microsoft Office programs and social media, Excel and Quicken.
 

Preferred/Desired Qualifications:

 

  • Additional education beyond high school diploma preferred.
  • Three or more year’s office experience preferred.
  • Experience with Share Point and updating/editing web sites.
