The Position:  

Reporting to the Vice Provost for Faculty Affairs, the Director of Academic Personnel Services will work closely with the Vice Provost for Faculty Affairs and our college and non-academic offices to oversee key processes and actions related to faculty, including hiring, review, and promotion. This is an exciting opportunity to help move the university forward by supporting faculty across the university.

 The Director of Academic Personnel Services:

  • Oversees compliance with all applicable policies governing faculty actions, including, but not limited to: Annual Performance and Planning Reviews; Promotion and Tenure Reviews; Retention Reviews; Periodic Post-Tenure Performance Reviews; Enhanced Post-Tenure Performance Reviews; Early Consideration for Tenure; Modified Duty Assignments; Faculty Development Leaves; Requests for Exemptions from Normal Search Processes; and Review of the Narrative Summary Stage for Faculty Searches.
  • Manages and executes non-routine and more complicated academic personnel actions, including hiring for executive-level academic positions.
  • Coordinates and manages updates to the UTK Faculty Handbook.
  • Ensures academic personnel practices are aligned and harmonized with UTK HR practices and serves as the main point of contact with UTK HR.
  • Ensures integrity, accuracy, reliability, completeness, and findability of faculty records.
  • Develops, implements, and maintains processes and practices that are aligned with best practices in data and information stewardship and that balance transparency and confidentiality.
  • Creates sustainable and user-friendly processes and practices that enable consistent and fair application across academic units, while also allowing for flexibility and efficiency at the unit level.
  • Identifies processes and practices that potentially have a negative impact on diversity, equity, inclusion, and fairness, and recommends solutions.
  • Supervises academic personnel staff and ensures that the services they provide are high-quality, helpful, friendly, and timely.  Provides coaching and support as necessary and advises on professional development opportunities.
  • Provides leadership in the area of academic personnel to the campus, including communicating regularly with academic unit service centers and providers, building community with these providers, keeping them informed and updated, learning about their obstacles, soliciting their input, and involving them in process improvement when possible.
  • Works closely with the Office of Information Technology and other academic personnel staff on managing and improving faculty information systems, including Elements, Interfolio, and the Faculty Review System, and identifying educational and support needs of users.


Qualifications
To be successful in this role, candidates should possess the ability to work both independently and as part of a team; self-starter; excellent organizational and interpersonal skills; excellent written and oral communication skills; excellent customer service skills; ability to collaborate with people in a variety of roles.  Ability to communicate effectively via email and other computer-mediated means. Adaptable, flexible, reliable, and strong problem-solving skills. Knowledge of how to analyze data, and of best practices in information and data management.  Knowledge of best practices concerning supervising staff.  Knowledge of diversity, equity, and inclusion issues in higher education.  Ability to maintain confidentiality in all matters.  Ability to interact with individuals and in group settings.  Strong attention to detail is essential.  Extensive knowledge of Microsoft Office products, especially Outlook, Word, Excel, PowerPoint, and SharePoint.  Must be knowledgeable of processes and policies related to personnel and have the ability to interpret and apply policies.  Skill with HRIS systems. 

Required Qualifications

  • Bachelor’s Degree
  • Minimum of 5 years of experience working in Human Resources
  • Experience supervising, directing, and supporting the work of others
  • Experience managing records and records systems and analyzing data and creating reports
  • Experience implementing process improvements, including those related to workflows and services
Preferred Qualifications

  • Master’s Degree
  • Eight years of administrative office experience
  • Experience working in academic personnel in a higher education setting
  • Experience with academic personnel actions at the UTK College or departmental level.
