POSITION ANNOUNCEMENT

 

The Office of Financial Aid and Scholarships at the University of Tennessee, Knoxville, (UTK) invites applications and nominations for our Policy and Training Coordinator position. We are seeking candidates who can contribute in meaningful ways to the diversity and intercultural goals of the University.

The Enrollment Management (EM) division comprises more than 150 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid & Scholarships, University Registrar, Enrollment Management Communications, Enrollment Management Research & Analytics and Enrollment Management Operations.

Functions and Responsibilities:

Develops workflows and procedures necessary to facilitate financial aid verification and appeals. Creates and maintains training curriculum and procedure manual for these processes. Remains current on federal regulations through professional development training, webinars, Dear Colleague Letters, Electronic Announcements, and the Federal Register. Provides training and support regarding the verification, appeals and processes to Financial Aid Staff, One Stop and other campus partners. Performs Quality Control review on verified files to ensure at least 90% accuracy on files verified by university staff. Direct oversight of verification document review for the Office of Financial Aid & Scholarships. Responsible for coordinating input, auditing and verification of financial statements submitted through the application process for all aid programs. Monitors the readiness of appeal documents for committee review (including Satisfactory Academic Progress, Special Circumstance, and Dependency Appeals). Audits the Federal Return of Title IV process for all aid recipients who withdraw from the university or cease attendance. Ensures that the calculated awards are properly returned to the state and/or the U.S. Department of Education. The Policy and Training Coordinator is expected to have a high level of technical knowledge and expertise in federal and state regulations, and will make independent judgments and decisions. Serves as the point person for all internal and external auditing of financial aid processes and procedures.



Qualifications
Required Education and Experience:

High school diploma or GED

4-5 years of progressively responsible financial aid or tax experience. 

Preferred Education and Experience:

Bachelor’s degree

Working knowledge of federal and state financial aid rules and regulations.

Experience with Ellucian Banner or similar student information system.

Required Knowledge, Skills, and Abilities:

Excellent oral and communication skills. Ability to write clear, concise letters using effective writing skills. Sensitive to cultural diversity and ability to communicate and interact with people of all ages and diverse backgrounds. Proven ability to work effectively as a team member. Ability to analyze and interpret data and make independent decisions. Ability to work independently and under time constraints. Knowledge of Microsoft Office products (Word, Excel, etc.).

Preferred Knowledge, Skills, and Abilities:

Knowledge of federal and state financial aid regulations and governmental agency guidelines including but not limited to the IRS, Department of Veterans Affairs, Department of Homeland Security, Social Security Administration and INS to analyze applications and data sent to the university from prospective and current students.
