Primary Purpose of the Organizational Unit:

The Center for Housing and Community Studies (CHCS) is a community-engaged, applied research institution specializing in geospatial research and multi-modal data collection and mixed-method analysis, used to develop community-informed solutions to social problems around housing and neighborhoods for governments, nonprofits, foundations, and institutions of higher education. We also incorporate grounded solutions to provide education and outreach promoting individuals through systems-level change. Our mission is to support, collaborate with, and empower community and institutional partners by providing data, information, evaluation, and assessment.

Position Summary:

The Business Coordinator (Journey) is expected to support the research and community partnership endeavors of the Center for Housing and Community Studies (CHCS) This position includes the purchasing and administrative functions for the research activities and implementation project conducted at the Center such as budget administration, clerical and logistical support to CHCS projects including preparing and monitoring project budgets, assisting with production and submission of grants and contracts, spreadsheet data entry, preparation and production of reports, event scheduling, supplies procurement and personnel administration matters (e.g., employment forms, timesheets, communications regarding applicable ORE and University regulations/policies).

The Business Coordinator will work closely with research and programmatic staff and will be responsible for administration of the Center’s HR duties needed for the center to operate such as time entry, and employee personnel actions. The position will work with the unit Office of Research and Engagement to facilitate position development and hiring coordination of new staff as needed.

The Business Coordinator will assist the CHCS Principal Investigators and Project Managers in the execution and compliance of grant budgets as well as assisting the Director with oversight of the Center’s operating budget.

Minimum Qualifications:

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR AN EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications:

  • Experience in the use of Banner Finance system.
  • Work experience with grant- and/or contract-funded projects.
  • Work experience in a university research setting.

Budget management

Essential Tasks:

  • Assist with financial management of a robust grant and contract portfolio. Demonstrate the ability to understand funding from multiple funding sources, recognize potential compliance issues and offer solutions to any budgeting problems that may arise.
  • Monitor fund balances and posting of purchases through Banner Finance and UNCG Genie to ensure accuracy and appropriate posting of expenditures to the proper funding source such as various grants, center funds, etc. Work with PI’s and Director to ensure that funding is pulled down in a timely manner over the life of the grant.
  • Assist PI’s and director with development of new grant budgets through an understanding of operating needs for the center as a whole.
  • Work with the Office of Contracts and Grants to insure budgets are properly loaded and revised as appropriate to meet grant needs.
  • Collect information from CHCS staff and maintain well organized records and prepare reports to support funding needs. Ensure internal controls, as well as grant guidelines with regard to financial aspects of the grants, are properly applied and documented.

Essential Tasks:

  • Using an understanding of the purchasing policies and procedures for UNCG, work with PIs and Project Managers to purchase supplies and services to ensure uninterrupted research and programming using a variety of methods such as p-card purchases, BANFINS, and purchase orders. Advise CHCS as to the best method of purchase and timelines for navigating the purchasing system efficiently. Qualify for a departmental P-Card and making purchases, reconciling and coordinating P-Card records to ensure proper use within UNCG and grant guidelines. Receive training and application of the UNCG e-procurement system as needed.
  • Arrange travel accommodations for staff as needed by prepaying registration fees, securing flight and hotel reservations, etc. Assist travelers with organizing and assembling necessary documentation after travel is completed for reimbursement and reporting purposes. Maintain current knowledge of travel requirements with regard to acceptable funding sources and application of funds to ensure proper use of funding as well as compliance with travel guidelines.
  • Work with ORE in the development and handling of contracts and purchase orders as needed.
    Maintain regular communication with researchers and supervisor with regard to status of purchases, equipment maintenance needs, etc. to facilitate timely purchases.
  • Work with the Office of Research and Engagement (ORE) for resolution of complex or unusual purchases including expenditures that require unit level approval such as gift cards for research participants.

Essential Tasks:

  • Work with PI’s to ensure that effort is properly allocated to appropriate funding sources and that there are adequate funding resources within the fund. This includes oversight of EPAF’s, reporting, and other duties as necessary.
  • Assist PI’s and the Director with the development, updating, and management of positions and actions associated with positions.
  • Responsibility for ensuring the procedures necessary for hiring and onboarding are coordinated with ORE and HRS to ensure smooth transition of new employees.
  • Work with the Office of Research and Engagement to maintain accuracy and compliance for more complex HR matters.
  • Train and supervise students and work study students as needed.

  • Act as liaison for office in dealings with Facilities and other departments across campus to ensure needed supplies, repairs, and general office needs are available to ensure continuous operations of CHCS functions. Provide administrative support for other CHCS duties as needed.
