Primary Purpose of Position:

The Administrative Support Associate provides administrative support to the department of Biological Sciences. Serves as the first point of contact, providing outstanding customer service for students, faculty, and staff. This position is responsible for ensuring that administrative procedures of the University are followed by all staff and students in an accurate and timely manner. Responsibilities include travel documentation and reimbursement for department staff and faculty members, monitors and orders supplies through 49er Mart, student recruitment and will maintain student programs Excel databases.

Minimum Education/Experience:

Required Minimum Qualifications:

Graduation from high school; or an equivalent combination of education and experience.

University Preferred Qualifications:

Graduation from high school, or completion of its equivalency, and two years of office/clerical work experience; or an equivalent combination of training/experience.

Essential Job Duties:

  • Create safe and welcoming environment for visitors to the Department of Biological Sciences
  • Prepare, review, & submit travel and mileage paperwork for department chair and faculty members
  • Enter daily requisitions in 49er Mart for teaching labs, & research labs (includes monitoring the approval progression of requisitions; filling out change requests, electronic check requests, & general services forms as needed; receiving purchases; assisting labs with any returns they may have; obtaining invoices as needed; initiating payment research requests as needed
  • Purchase and manage supplies & equipment for the main office which includes the use of university purchasing card
  • P Card Reconciliation
  • Prepare, review, & submit Employee Student Direct Pay Requests (ESDPRs) and “other state employee” CP-30s
  • Initiate, review, & submit Vendor Information Forms on behalf of potential vendors.
  • Fill out Independent Contractor Checklists & Vendor Maintenance Forms as needed
  • Manage gas cylinder leases for the departmental research labs and Shred-it schedule
  • Coordinates, publicizes and implements departmental recruitment (including Federal Student workers)
  • Develops, recommends and implements policies, guidelines and procedures related to the Department of Biological Sciences student employment
  • Works directly with faculty members to obtain workforce needs and make referrals
  • Interviews candidates, trains and reviews the work of office students
  • Coordinates and oversees yearly departmental Student Appreciation event
  • Maintain student programs Excel databases and provide notifications

Other Work Responsibilities:

Serves as a backup for the mail clerk in the department of Biological Sciences.
Other duties as assigned.

Departmental Preferred Experience, Skills, Training/Education:

  • Candidate will ideally have an associate’s degree with administrative experience in a college or university is helpful.
  • Strong interpersonal skills and evidence of an ability to work with a diverse clientele.
  • Exemplary customer service skills for greeting students, faculty, and visitors.
  • Strong written and oral communication skills.
  • Proficient in MS Office/Google/Excel.
  • Banner experience is preferred.
