JOB SUMMARY: This position is responsible for student progression dealing with flight and ground courses and internal audits. The purpose of this position it to provide administrative oversite and student support in the department. Success in this position contributes to the efficiency and effectiveness of flight operations. Responsibilities will exist for both Eastman and Macon locations (remotely as needed and may include future expansion sites).

MAJOR DUTIES:

  • Coordinate and manage the Flight Director’s administrative duties on a regular basis.
  • Provide assistance to faculty, other staff, and students.
  • Manages the Flight Director and Staff’s schedule, calendar, and emails - schedules appointments.
  • Manages student’s flight classes (drop /add).
  • Manages information on TSA website and record documents (tracking student accounts).
  • Manages with student records (FAA).
  • Manages required records for operating and travel budgets.
  • Manages and organizes all flight instructor files (FAA).
  • FAA Testing backup examiner.
  • Responsible for orders and maintains office supplies.
  • Responsible for managing and tracking flight schedule efficiency (instructors, students, and aircraft) works with Chiefs and Assistant Chiefs.
  • Manages with end of year and semester class evaluations.
  • Coordinating safety-meeting documents related to AABI.
  • Performs assistance with new student inquiries and answers, tracts emails.
  • Oversees the managing of student/VA workers.
  • Perform other duties as assigned to support campus operations.

KNOWLEDGE/SKILLS REQUIRED BY THE POSITION:

  • Knowledge of computer and job-related software programs.
  • Knowledge of modern office practices and procedures
  • Skill in decision-making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in prioritizing and organization of workload.
  • Skill in the use of such office equipment, scanner, fax machine and copier.

  • Exceptional customer service skills.

SUPERVISORY CONTROLS: The Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES: Guidelines include management of student/instructor progress per FAA regulations and university policies and procedures. These guidelines require judgment, selection and interpretation in application.

COMPLEXITY/SCOPE OF WORK:

  • The work consists of a combination of time devoted to student audits/management of progression and management of daily operations pertaining to the flight department.
  • The purpose of this position is to allow the flight admin team adequate time to address FAA standardization and safety related issues.
  • Must be willing and able to work overtime and weekend shifts as required.

  • Contacts are typically with co-workers, faculty, staff, students, and members of the general public.
  • Contacts are typically to give or exchange information, to resolve problems, and to provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT:

  • The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY: Supervise student/VA workers.

MINIMUM QUALIFICATIONS:

  • Minimum of a bachelor’s degree from an accredited college/university.
  • Must possess a valid driver’s license.

PREFERRD QUALIFICATIONS:

  • Knowledge and level of competency associated with completion of specialized training and a master’s degree.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with completion of at least two years of experience.
  • Knowledge of university and school policies and procedures.
  • Knowledge of Banner/Swords, MyDegree, Works, web management and Peoplesoft.
  • Knowledge of admission, registration and degree program requirements.

COMPENSATION:

  • Pay grade 19.
