SUMMARY:

Under minimal supervision, coordinates, oversees, and/or performs a wide variety of administrative, operational, and program support activities on behalf of the Equity and Community unit’s executive leadership. Serves as primary point of operational and administrative contact for internal and external constituencies for the unit. Coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects and/or events.

RESPONSIBILITIES:

  • Provides confidential administrative support for the Senior Administrative Officer for Equity & Community, Director of Institutional Equity and Diversity, the Executive Director of the Bonner Center for Civic Engagement, and the Director of Creativity, Innovation, and Entrepreneurship (CIE) to include managing schedules/calendar, preparing briefing materials and reports, making travel arrangements, dealing with administrative problems and inquiries as appropriate, assisting with correspondence and written documentation and with the coordination, supervision, and completion of special projects.
  • Provides administrative support, first point of contact services, and office management for the Equity and Community office such as answering telephones, distributing mail, assisting visitors, maintaining and ordering office supplies and equipment, and resolving and/or referring a range of routine administrative problems and inquiries in accordance with University policies and procedures.
  • Monitors, coordinates, and processes payments, including P- Card reconciliation, travel and expense reimbursement; TIDE grants; prepares internal reports for management; participates in budget planning and management, as required.
  • Gathers, enters, and/or updates data to maintain records and databases, as appropriate; submits relevant
  • Organizes and facilitates various special events, meetings, conferences, related to supporting the SAO and directors and unit and departmental activities, prioritizing the staffing of the Institutional Coordinating Committee, and Bias Resource Team, related required activities, including reservations, logistics, communications, and record keeping.
  • Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external organizations and agencies on a range of specified issues.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:

  • Strong interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to gather data and compile information
  • Ability to create Powerpoint presentations and reports for external audiences
  • Record maintenance skills.
  • Skill in the use of personal computers and related software applications.
  • Database management skills.
  • Ability to analyze and solve problems.
  • Skill in organizing resources and establishing priorities.
  • Demonstrated ability to maintain confidentiality.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose, and edit written materials.
  • Knowledge of computerized information systems used in financial and/or accounting applications.
  • Project management skills
  • Strong skills in Microsoft Suite, including Excel, Outlook, and Powerpoint
  • Knowledge of Banner preferred

EDUCATION & EXPERIENCE:

  • GED and 4-5 years administrative support experience required with demonstrated project management
  • Higher education experience preferred

WORK HOURS:

  • Full-time, non-exempt position
  • Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.18 to $21.48 per hour)
