Job Description:

Position Summary:

This position supports the University in four ways: (1) management of the program modification process, (2) management of the academic articulation and partner agreements process (3) production of the Academic Catalog and Student Handbook (with addenda), and (4) administrative support for the Academic Program Review Process and generally to the Office of Program Development.

Principal Duties:

1. Manage the University’s Program Modification Process

a. Maintain records for all Program Modification Request (PMR) related documents.

b. Provide training for new and existing employees on the PMR process.

c. Support Department Chairs and Deans in the development of PMRs as needed.

d. Conduct content reviews and provide editing support for incoming PMRs.

e. Facilitate pre-review, formal review, and implementation meetings. This includes performing all administrative tasks (e.g., scheduling, building agendas, preparing materials, note-taking). Facilitate regulatory review for re gional, state, and programmatic accrediting or approval bodies.

f. Present Program Modifications for review and approval at the Academic Affairs Leadership Council.

g. Collaborate and coordinate with the TCS Education System team (specifically the Associate Vice President of Academic Operations) as well as Admissions, Office of the Registrar, Student Support Services, and Marketing to ensure proper implementation of approved Program Modification Requests.

2. Manage the Academic Articulation and Partner Agreement Process
a. Provide project management support for the university’s academic partnership process which includes the development and renewal of Memoranda of Understanding and Articulation Agreements.
b. Maintain records for all academic partnerships and related documents.
c. Facilitate pre-review, formal review, and implementation meetings. This includes performing all administrative tasks (e.g., scheduling, building agendas, preparing materials, note-taking).
d. Collaborate with the TCS Education System (specifically the Director of Admission Operations) team to ensure proper implementation of MOU and Articulation Agreements.
e. Monitor expiration dates of live agreements and present those nearing expiration for consideration of renewal to the agreement owners.
3. Manage the Production of the Academic Catalog and Student Handbook.
a. Manage the periodic (at least biannual) publication process of the university Academic Catalog and Student Handbook.
b. Develop and manage the project schedule, communication, and entire publication process from start to finish.
c. Prepare deliverables, facilitate content reviews, and perform editorial work in catalog software (Acalog).
d. Collaborate with the Office of General Counsel and the Office of Accreditation, Licensure, & State Authorization to ensure that all references to licensure preparation in the Student Handbook and Academic Catalog are current and compliant.
e. Maintain program guidebook masters in the Community Portal.
f. Conduct annual audit of program version codes within the Student Information System against the Program of Study pages for all programs.
4. Support the Academic Program Review Process
a. Provide support, as needed, to the Director of Educational Effectiveness. Examples include:
i. Coordinate updates to curriculum maps/assessment plans related to Program Modification Requests.
ii. Support the logistical planning, schedule development, agenda formation, and facilitation of the Annual Assessment Summit.
iii. Support the development of templates and tools used to facilitate Academic Program Review and curriculum development documentation.
iv. Support the review of and provide data for Annual Reports and Periodic Self Studies to include Program Modification Requests (PMRs) references, where applicable.
v. Assist with the development of storage sites for assessment content (e.g., SharePoint).
vi. Contribute to the development of The Chicago School of Professional Psychology (TCSPP) assessment activities.
vii. Maintain the Intranet site for the Institutional Effectiveness Review Committee to include pages relative to subcommittees.
5. Provide general administrative support for Office of Program Development
a. Support the development of accreditation application documentation as requested (WSCUC, State Applications, Programmatic Accreditation).
b. Support the Associate Director, Office of Program Development when developing Program Investment Proposals or launching new programs, specifically with coordinating marketing materials, website update, program information sheets, sample schedules and related documentation.
c. Maintain agreement of marketing (and program finder web pages) materials with program of study pages in the Academic Catalog.
d. Maintain Intranet site for the Office of Program Development.

Position Qualifications:
• Experience working within Higher Education preferred.
• Bachelor’s degree required. Master’s degree preferred.
