Position Information: Description

The purpose of this position is to support the Associate Dean for Student Affairs & Admissions through coordination of the ACHIEVE program, facilitation of the career advising system, and provide student support and guidance

Duties & Responsibilities
  • Facilitate the delivery of a comprehensive career advising system
  1. Assist with individual career advising that includes specialty exploration resources, career development information, decision-making strategies, formal career assessment interpretations, resume reviews, residency application strategies, and interviewing techniques.
  2. Plan follow-up activities to support students in their personal and professional development, including activities to assist in career and medical specialty exploration.
  3. Develop and maintain physician shadowing resources for medical students, review and update annually
  4. Develop and maintain a tracking process to document which medical students are engaging in voluntary career advising programming and to ensure mandatory programming is being met.
  5. Develop expertise in career services focused on the field of medicine (career advising, development, and trends)
  6. Collaborate with faculty on designing, delivering, and evaluating career related resources (print and online) and programming (workshops, presentations, events) to better assist students as they self-explore, target interests, explore options and make well thought out plans.
  7. Present ACHIEVE program sessions to both small and large group audiences
  8. Serve as liaison to SMHS designated career advisors. Develop career knowledge resources, coordinate appropriate sharing of information, facilitate students use of resources and participation in appropriate campus-wide and one-on-one events and programs, and partnering to develop resources as needed.
  9. Partner with experiential learning units to facilitate student's engagement in community service experiences.
  10. Promotes the programs and services provided by the office and coordinate special events, programs, receptions, public speaking activities, etc.
  11. Assist in the development, implementation, and evaluation of events, programs, and resources that facilitate career decision-making for medical students.
  12. Annually assess if career advising system meets student needs, SMHS priorities, SAA requirements, and LCME elements. Annually prepare a report of findings for the Associate Dean
  13. Coordinate with the Associate Dean for continuous quality improvement of the career advising system incorporating student feedback and program assessment
  • Coordinate the ACHIEVE Program
  1. Coordinate with the Associate Dean in developing goals and objectives for the ACHIEVE program that align with SMHS priorities, SAA requirements, and LCME elements in collaboration with appropriate personnel.
  2. Work independently or collaborate with appropriate personnel in developing and implementing ACHIEVE program content in the areas of career and professional development, financial literacy, student well-being, diversity and inclusion, and academic success.
  3. Coordinate with the Associate Dean in developing and coordinating the curricular schedule for the ACHIEVE program and present or arrange for appropriate presenters as needed.
  4. Develop and maintain a tracking process to document voluntary ACHIEVE involvement and to ensure required programming is being met.
  5. Annually assess if ACHIEVE programming is meeting student needs, SMHS priorities, SAA requirements and, LCME elements. Annually prepare a report of findings for the Associate Dean
  6. Coordinate with the Associate Dean for continuous quality improvement of the ACHIEVE Program incorporating student feedback and program assessment
  • Provide support to current students, student organizations, and student affairs services and programs Design and maintain SAA marketing materials and student forms
Current Students

  1. Provide one-on-one support to medical students and refer them to available resources or other appropriate professionals
  2. Assist the class leadership, including the social committee and student council, with non-curricular events
  3. Review funding requests, ensure proper forms are completed and documentation is submitted, and provide recommendations to Associate Dean for approval
Student Organizations

  1. Oversee student groups, support the development of those in existence and others desired by students
  2. Facilitate the identification of faculty advisors as needed for the student groups
  3. Advise student groups and organizations and ensure adherence to UND and SMHS policies and procedures
  4. Maintain tracking system for leadership and membership of active student groups and organizations
  5. Maintain a calendar for student groups and organizations events for utilization by students, faculty, and staff
  6. Track student groups and organizations events on an academic year basis
  7. Provide support to the UND Undergraduate Medical Association
Student Affairs Services & Programs

  1. Coordinate the annual Dean’s Colloquium, Clinical Chairs Panels and Transition to Clinical Curriculum events
  2. Annually review and update the Medical Student Handbook and revise throughout the academic year as needed
  3. Develop and compile content for the Office of Student Affairs & Admissions newsletter, Grand Rounds
  4. Develop informational and promotional material for the Office of Student Affairs & Admissions.
  5. Collect data for various reports and respond to questionnaires as requested by the Associate Dean
  6. Develop and monitor metrics to gauge success of various efforts within the Office of Student Affairs & Admissions and provide analysis to Associate Dean
  • Work as a team member to promote the success of the Office of Student Affairs & Admissions Performs data entry of students’ information into database on a timely basis, along with updating their contact information as needed
  1. Create and maintain standard operating procedures.
  2. Create and maintain appropriate program files.
  3. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  4. Collaborate with and back up other members of Student Affairs & Admissions with their primary responsibilities and assist with total office duties and coverage, and perform other duties as assigned
  5. Collaborate with Student Affairs & Admissions staff for effective communication and workflow within the office.
  6. Assist with UND SMHS events, including but not limited to admissions interviews, orientation, and graduation.
  7. Always represent UND SMHS in a professional manner by providing excellent communication and services.
  8. Support the workplace culture of Student Affairs & Admissions by demonstrating the professional conduct and values expected of all employees and by maintaining a positive attitude.
  9. Attend AAMC professional development opportunities as directed and disseminate information to Student Affairs & Admissions staff.

Minimum Requirements
  • Bachelor's Degree
  • One year working in higher education or related experience
  • Successful completion of criminal history records check
  • Valid Driver's License 
Preferred Qualifications
  • Master’s Degree
  • Two years working in higher education or related experience
  • Experience with career or academic advisement
  • Experience working with medical students and/or medical residents
  • Knowledge of NDUS and UND policies and procedures
  • Knowledge of FERPA rules and regulations
Minimum Hiring Salary/Position Classification

$42,000 Annual, Exempt, Full-time, Benefitted

Work Schedule/Start Date

Monday-Friday 8:00 am to 4:30 pm. Occasional hours worked before or after normal business hours.
