Job Description Summary:

  • The CUE Administrative Assistant reports to the Operations Manager and provides support to the Center for Undergraduate Excellence; assisting with but not limited to general administrative duties, program and event support.

Responsibilities:

Administrative Duties

  • Greet each student, staff, or visitor as they enter to make a positive impression, assess their needs quickly, answer questions, and/or direct them to their destination.
  • Answer phone calls and respond to internal and external requests for information, providing excellent customer service in a timely manner. Take clear messages. Refer individuals to appropriate information or University office.
  • Answer CUE Office email inbox and respond to internal and external requests for information, providing excellent customer service in a timely manner. Prepare correspondence; emails to students, faculty, program participants, and University community members as directed.
  • Receive and sort mail and deliveries.
  • Maintain office website and oversee social media accounts.
  • Order, stock, and maintain office supplies and resources.
  • Maintain office calendar.
    • Coordinate office marketing and advertisements on social media and other medians.
Program and Event Support
  • Assist with coordinating events and projects.
  • Plan events, including announcements, calendaring, room reservations, and catering arrangements. Coordinate work orders; such as Facilities, Media Services, and Sodexo.
  • Create attractive and effective flyers/posters/promotional materials.
  • Support logistics for fellowship information, application writing resources, and student database.
  • Assist with promotion and implementation of all CUE Events.
  • Coordinate various workshops, panels, and information sessions.
  • Other Duties As Assigned.

Required Qualifications:

Bachelor’s degree or equivalent education and experience. A minimum of 1 year related experience providing administrative, operations, and financial office support. Ability to maintain a high level of confidentiality and adhere to FERPA and other regulations. Demonstrated oral communication and interpersonal skills with the ability to interact with diverse individuals within the University. Ability to provide tact and diplomacy. Demonstrated arithmetic skills necessary to complete basic financial forms and legal documents. Ability to use standard office equipment, including copier, fax, calculator, and telephone. Demonstrated written communication skills to prepare clear, concise, and grammatical correct business correspondence. Strong commitment to teamwork. Strong organizational skills to coordinate and collaborate with staff members on campus special events. Ability to learn and interpret the university policies and procedures. Technical skills to learn and use enterprise systems and departmental skills, such as: word processing, spreadsheet, presentation, database, calendaring, web development, internet, social media, and electronic mail software.

Desired Qualifications:

Experience in higher education.
Knowledge of Chapman University policies and procedures.
Working knowledge of PeopleSoft.
Work experience providing administrative, operations, and financial office support.
