About the College/Unit/Department:

As the 4th largest public college of education in the country and the 3rd largest college at UGA, the Mary Frances Early College of Education (MFECOE) improves the lives of residents of Georgia and beyond through our instruction, research, and service. The MFE COE is a comprehensive college with disciplines focused on teacher preparation, counseling and human development, communication sciences, human movement sciences, career development, student affairs, and educational administration and policy. We place significant emphasis on graduate education with approximately 40% of our students at the graduate level, making us the second largest college at UGA with respect to graduate education.

Named for Mary Frances Early, UGA’s first African American graduate, in February 2020, the MFE COE has a long and distinguished history as a leader in diversity, equity, and inclusion. Position Summary:

This position involves autonomous professional administrative work that supports graduate and undergraduate programs in the Department of Language and Literacy Education, including serving as Graduate Coordinator’s Assistant, Departmental Data Steward for Research and Reporting, Student Registration Coordinator, Enrolled Student Retention Manager, Prospective Student Recruitment Manager, and offering general assistance for the daily functions of the departmental office.

Knowledge, Skills, Abilities and/or Competencies:

Knowledge of the University, Graduate School and Department rules, regulation policies and procedures pertaining to graduate programs. Knowledge of LLED graduate course offerings and program requirements. Knowledge and competence in computer skills (word processing, spreadsheet and database management), University course registrations system (University student record system, Graduate School Tracking software, eLC, BANNER, Argos, ATHENA, SLATE and GradStatus). Effective organizational, self-learning, problem-solving, initiative-taking, interpersonal and communication skills. Ability to interpret policies and procedures effectively and communicate these to students and faculty.

Duties/Responsibilities:

Graduate Coordinator Assistant:
● Submits departmental recommendations concerning admission to Graduate School
● Facilitates Graduate Coordinator with recommendations for Grad School assistantships, dissertation completion assistantships, scholarships (ex ROOST waivers), etc.
● Keeps graduate students and faculty informed of deadline dates and policies of the Graduate School
● Organizes details for, and notifies the Graduate School of, the date, time, and place of Oral Preliminary Examinations and Final Defenses of Doctoral Dissertations
● Coordinates with the major professor and Grad Coordinator on all requests for Degree Objective Changes, Programs of Study, Recommended Changes in Programs of Study, Requests for Transfer Credit, and Applications for Admission to Candidacy
● Assists Graduate Coordinator in developing annual Graduate School Recruitment Enhancement Grant proposal
● Assists Accountant with student travel funding applications

Student Registration Coordinator:
● Banner course scheduler for LLED independent study classes
● Facilitates graduate student registration between student & advisor/major professor each semester
● Submits registration override codes (PODs, POMs, LEVEL, CAPACITY, etc.) in Banner for all undergraduate and graduate LLED students and all other UGA students taking LLED classes
● Assists departmental faculty and COE Student Services with basic elements of undergraduate student admission and registration

Departmental Data Steward for Research and Reporting:
● Accreditation reviews (NCATE, PRAC), GaPSC, US News & World Report, Student Learning Outcomes, Doctoral Placement, general UGA, Grad School, COE, departmental, and faculty information needs, etc.
● Develops internal manual and computer system databases for record keeping, including implementation and instruction for use

● Runs general departmental inquiry email (lled@uga.edu) and responds to emails/calls sent to LLED from Grad School, UGAonline, and COE

● Sends follow-up communications to incomplete applicants
● Coordinates details with LCL faculty for yearly LCL PhD applicant interviews
● Sends LLED welcome/advisement letters to newly admitted graduate students

● Maintains current records on all departmental graduate students

● Greets visitors/answers inquiries by phone and email
● Serves as a back-up for the Office Manager for scheduling rooms 315A and 308 on LLED wall calendars for student and faculty meetings

● Attends, participates, and facilitates staff meetings, professional development seminars, and serves on various college and university committees
● Contributes to listservs – LLEDALLGRAD, LLEDGATA, and LLEDFACSTAFF
