Primary responsibilities include: event coordination, manuscript editing and proofreading, liaising with publisher, website support, financial transactions, grants management, onboarding suppliers, communicating with external clients and partners, and other administrative duties.Job Description
Work with the Center Director, Associate Director, conference paper authors, and publisher in our annual publications process. Collect conference papers from authors; proofread, edit, and format the papers into book chapters according to publisher standards; review and oversee approval of book contracts; proofread and approve galleys; and perform other related responsibilities. The Program Coordinator will manage all aspects of this process. Attention to detail is required for editing graphs and tables as well as all book matter for submission to the publisher.
The incumbent will coordinate PRC events and annual conferences; including: invitations, space, meal and technology arrangements, agendas, and thank you gifts. Incumbent will also track invites and make appropriate follow ups. Event planning will involve working with caterers, vendors, obtaining contracts for services, and processing travel reimbursements and honoraria/lectures fees for participants.
The Program Coordinator will also assist the Associate Director with financial transactions as needed (as backup to the Admin. Coordinator) such as the University’s Purchasing Card and Meeting Card, Ben Deposits, BEN Buys, BEN Financials, BEN Reports, the Concur Travel System, onboarding suppliers, and reviewing contracts. The incumbent will also assist the Associate Director with grants management including updating relevant documents and paying subcontractors. The incumbent should have knowledge of, or be willing to learn, relevant financial policies.
The Program Coordinator will also help manage the Center’s website and internet presence. Responsibilities include: utilizing WordPress to update the website content for conferences, working papers, book chapters, news, and videos. The incumbent will assist with drafting various communications such as the bi-monthly newsletter sent out via a web-based contact management system, as well as distributing publications to PRC Board Members and Partners.
Qualifications
Bachelor’s Degree required; 2-3 years related experience or equivalent combination of education and experience. Experience with event planning and proofreading/editing preferred. Must be skilled in Microsoft Applications including Word, Excel, and PowerPoint (Access a plus). Must also have knowledge, or be willing to train in, various website platforms and internet technologies including: Adobe Acrobat, WordPress, and Social Media platforms. The candidate must have excellent organizational skills, strong verbal & written communication skills, attention to detail, ability to take responsibility for high-quality work produced in timely fashion, and ability to work effectively in a team atmosphere. Experience working with external clients, publishers, and constituents in a professional manner preferred. Candidate must be able to work with complex data in manuscript tables and figures, under the supervision of the Center Director. Candidate must also have knowledge or be willing to train in University systems including BEN Financials, Concur Travel System and other systems required to complete job functions.
