Essential Job Duties:

This position assists the director of the office (OUCCAS) in the coordination and implementation of the approval process of undergraduate courses and curricula at NC State University. This position is expected to provide a high level of analysis and excellent customer service with regard to the courses and curricular processes and management system. They research past precedence, revise training and documentation, and offer guidance and training to campus partners, faculty, staff, students, as well as some off-campus contacts. Duties also include agenda creation and management, meeting coordination, and taking meeting minutes for meetings and pre-meetings for two faculty governance committees on campus as well as any pre-meetings or subcommittee meetings, and communicating with departments on campus.

Course /Curricular Processing:
-Serve as the primary point of contact for campus regarding updating/creating an undergraduate-level course
Including answering e-mails in courses-curricula account and answering the phone lines, and possibly in-person interactions based on-campus status at the time of work
-Act as an administrator for the Course Inventory Management (CIM) system
-Process changes/updates/maintenance of actions in CIM as appropriate
-Update curricula in CAT as appropriate based on curricular approval
-Review courses for compliance with University, system, accreditation, and federal policies
-Facilitate communication and follow-up with departments and colleges for course approval results from committees
-Schedule GEP Special Topics Courses that have been approved by CUE
-Monitor the repeated offerings of these courses and alert departments before actions to create a permanent course must be initiated
-In conjunction with the Director and Senior Associate Dean, track curricular approvals through the entire process of approval in order to submit paperwork at the end of the process to Registration and Records through academic structure actions where necessary
-Submit actions to the Provost office after review
-Maintain tracking systems for office and committee actions

University Standing Committees (University Courses and Curricula Committee/Council on Undergraduate Education):
-Maintain and schedule of committee meetings
-Create, update, and send agendas and materials for meetings following open meeting laws
-Take meeting minutes and attendance
-Serve as first point of contact for committee members, including offering training and support and adding them to relevant google groups, meeting invitations, etc.
-Respond to requests for UCCC/CUE documents and questions involving past and current committee process and actions. This includes doing research in a share drive, google drive, and some paper, analysing information, and synthesizing reports appropriate for diverse demographics and/or specialized to individual client needs.

Website:
-Maintain information on the OUCCAS website
-Update documentation and procedural information based on changes to requirements and processes at all levels
-Maintain the websites for UCCC and CUE, including adding meeting dates to the site and university calendar, as well as adding minutes and agendas to each meeting

Training and Outreach:
-Implement training regarding the undergraduate course approval process and the overall curricular process, as well as system/software training and other topics as appropriate/requested.
-Serve as the primary point of contact for training requests
-Conduct assessments of existing training and find gaps in the knowledge base for future training for faculty and staff.
-Visit/reach out to offices, departments, and colleges on campus to share resources, training, and services available

Experience with Courseleaf suite of software (CAT, CIM for Courses, CIM for Programs), experience working in higher education administration.
