Position Summary:

The Assistant Registrar fulfills the data collection and analysis needs for the divisions of Enrollment Management and Student Academic Affairs and is responsible for the preparation of institutional and operational reports. The position requires both technical and functional expertise in student systems and higher education administrative services. This position is housed in the office of Registration and Records and reports directly to the Associate Registrar.

Essential Duties and Responsibilities:

  • Reporting and analysis of student information system (PeopleSoft) data to assist the divisions of Enrollment Management and Student Academic Affairs in support of strategic planning, operations, assessment and decision making
  • Conduct special data analysis projects to track trends and variations (i.e. room utilization, enrollment tracking)
  • Works collaboratively with a wide range of University offices to develop data retrieval, assessment, and reporting in support of strategic and programmatic initiatives
  • Coordinate, prioritize and respond to ad hoc data requests from colleges and departments for student, course, and class data
  • Development and maintenance of standardized reports/queries to support ongoing operational needs of Enrollment Management, Student Academic Affairs, and the colleges/departments
  • Creation of electronic resources and a library of public queries with up-to-date documentation and training materials for the simpler requests so individuals can get their own data
  • Conduct individualized training sessions in support of query processing in the colleges and departments
  • Respond to all requests for aggregate student and enrollment data, including government reporting, professional reporting, university reporting, departmental requests, and requests from other campus groups
  • Serve on Administrative Computing Core Team for administrative system changes
  • Assist as necessary with the major processes and events in Registration and Records, such as registration, grade reporting, and commencement, as well as provide direct customer service via phone, email, and in person
  • Supervise 2-3 staff members and student worker(s)

Knowledge, Skills, and Abilities:

  • Proven skills and expertise in data retrieval, analysis, and reporting from a complex database
  • Demonstrated ability in the effective presentation of data from a complex database
  • Proven competence in the use of data analysis tools (i.e. Query, Excel)
  • Demonstrated understanding of statistical methodologies and protocols
  • Demonstrated excellence in oral, written and communication skills
  • Commitment to a collegial and collaborative work environment

Minimum Qualifications:

  • Bachelor’s degree; Master’s preferred
  • 1-3 years experience performing data analysis work, preferably in a higher education environment
  • 1-3 years supervisory experience preferred
  • PeopleSoft competencies preferred

Working Conditions:

  • Direct service office located in central administrative/classroom building
  • Regular contact and collaborations with colleagues (faculty and staff) throughout the university
  • Reflects dynamics of academic calendar, with slower summer months balanced by periods of high volume and peak staff activity surrounding course scheduling, enrollment, grading, certification, and graduation
