The Administrative Director is responsible for the day-to-day operations and management of budget, finance, personnel, strategic plan and administrative services of the Section to meet the clinical, research and education missions at Department of Medicine.

  • Finance Management. Oversee Section budget process, prepare budget and all related analyses for annual budget submission to DOM. Monitor budget performance and manage Section expenditures within the funding guidelines. Recommend adjustments to spending, correct variances. Negotiate contracts and monitor revenue/loss.
  • Administration. Support the Chief in hiring and recruiting faculty including pro-forma, job posting, offer letters, etc… Facilitate on-boarding functions for new faculty members, hospital and third party credentialing and enrollment, faculty appointment and promotion. Perform various personnel actions in SAP and analyses of physician productivity. Ensure optimization of faculty administrative support. Ensure providers receive regular communication regarding metrics such as productivity, session counts, access and patients seen per session.
  • Professional Billing and Revenue Cycle. Maximize patient service revenue and improve the billing processes. Propose changes to increase patient volume, access and satisfaction. Monitor and communicate to providers regularly about provider coding and associated RVUs. Report preparation and participation in monthly Action Plan meetings and PBO/CHC Operations meetings. Generate reports on request of Section Chief and other faculty.
  • Grants Management. Manage the Section’s research portfolio in partnership with Section Grant Administrator. Support PIs on their pre and post award activities, including subcontracts and consultant agreements. Perform shadow budget projection on a minimum quarterly basis to provide timely updates to PIs and prevent grant deficit. Participate in monthly meetings with BMC Grants Office and CTO.
  • Fellowship Program. Support the Fellowship Program Director in managing the program activities. Supervise Fellowship Program Coordinator and ensure needs of education programs are met.

• Demonstrates a track record of building and leading high-performance and highly collaborative teams. Actively involved in sourcing, selecting, developing, and retaining high-performance talent. Directly supervises administrative personnel, fellowship program coordinator, grants administrator, clinical research coordinators and clinical nutrition manager. Partners with PIs to supervise lab staff. Collaborates with the Section Chief, outpatient clinic leadership team, physician leaders and other stakeholders to implement new programs and service lines.
• Participates meaningfully in department wide initiatives that drive performance against key goals.
• Advise and troubleshoot on BU Works and other issues regarding research supply, purchasing, timesheet processing, travel policy and other reimbursement processing. Develops and maintains good |communication and working relationships to solve problems.

Required Skills

Bachelor’s required, Master’s preferred

3-5 years of work experience.
