Job Description:


  • Maintain and reconcile the fiscal year spreadsheets on the budgeted line item expenditures for UG/GR PT program (including expense accounting for travel and professional development).

  • Collaborate and assist PT program directors with various administrative program activities as needed such as, confirming rosters, student contact information and assist faculty as needed. This includes tracking of UG cohorts of approximately 50 students and up to 150 Graduate students.

  • Answer and screen calls and direct to the appropriate personnel. Take and maintain all program meeting minutes.

  • Collaborate and assist the PT Director to track student and program data for accreditation and other annual reports.

  • Generate and maintain graduate applicant data for PT programs as wells as new student UG/GR new student list, returning and dismissed/withdrawn students for up to 150 graduate students as well as approximately 50 undergraduate students.

  • Coordinate new student orientation and other program events (e.g. pinning ceremonies, research day) for the PT program.

  • Communicate inquiries, issues, and concerns to Dean's office as appropriate to maintain smooth operations of School of Health Sciences. Assist in addressing approximately 200 UG/GR PT student inquiries and directing students to appropriate staff or faculty.

  • Conduct and maintain an accurate inventory of all physical therapy equipment used for classes. This includes managing the maintenance of linens for the PT labs. Coordinate maintenance of all physical therapy equipment.

  • Supervise PT work-study students.

  • Assist the program's clinical education team with gathering and maintaining student information specific to clinical education for up to 150 graduate students. Assist with the processing of contracts for clinical education sites.

  • Manage course room schedules and general room schedule for Courniotes and Colaccino.

  • Maintain EXAAT program for clinical education team including uploading of all student and faculty documents and processing of March mailings. Provide system reports as needed related to clinical education placements.

  • Other duties as assigned.



Requirements:


  • Required Degree(s): Associate Degree

  • Preferred Degree(s): Bachelor's Degree

  • Required Field of Expertise: 1-3 Years work experience as an administrative assistant


Knowledge/Skills/Abilities


  • Needs to be proficient at Microsoft office and be able to handle data bases.

  • Communicate effectively and in a professional manner at all times with students, staff, and faculty.

  • Excellent written and verbal communication skills.

  • Commitment to student-centered mission of the School and College.

  • Able to work within a diverse environment.



Additional Information:


Work Schedule


This is a full time, non-exempt level, benefit eligible position scheduled for 35 hours per week. Business hours are Monday through Friday 8:30 am to 4:30 pm with a one hour unpaid lunch break. The schedule for this position will be flexible to the needs of the department.
