Description
Embedded within the staff and production processes of Theatreworks and under the guidance of the Theatreworks Artistic Director, the Coordinator creates content to tell the story of Theatreworks’s productions, projects, and programs to the wider communities of UCCS, Colorado Springs, and the country. The Coordinator facilitates collateral production with outside vendors, grants, and Theatreworks social media and coordinates various special events in support of Theatreworks patron cultivation, including Theatreworks’ annual London Tour, a 10-day fundraising and theatre awareness trip. The Coordinator connects with Ent Center wide marketing, communications, and fund-raising staff to create a positive public image and support earned revenue efforts for Theatreworks, the professional theatre in residence at UCCS.

 

This position requires someone with strong written and oral communication, attention to detail, organizational skills, and excitement to learn on the job. Skills from theatrical project management like stage or production management would also translate well into this work.  This position works closely with the Theatreworks Artistic Director, Theatreworks staff, ECFA Marketing Manager, Assistant Director of Patron Services, and University Advancement to ensure smooth and compelling communication to our audiences and community.

Job Duties:

Position is responsible for working with the Artistic Director to maintain existing media, community and marketing relationships related to the arts as well as seeking to create new onesPosition will be responsible for working with outside vendors to facilitate season brochure, season collateral, and production playbills.Works closely with Producer, Costume Shop Manager, Technical Director, and work-study student employees within TheatreworksCoordinates with Ent Center Marketing Manager, Patron Services staff, University Advancement, and University Office of Sponsored Programs.Special Events: London Tour

Coordinate annual London Tour of 50-60 guests traveling to London for 10 daysWork with outside tour company on show bookings for six performances, hotel reservations, and shared dinner.Facilitate travel arrangements to and from airports in Colorado and London.Coordinate guest speakers (under direction of Artistic Director) and their payment.Travel to London; attend performances; address needs, hosting, and emergencies on site during the 10-day tour.Project Management

Fundraising Coordinate with Theatreworks Artistic Director, ECFA Patron Services and University Advancement to track and recognize donors between $0-$5K, inCoordinate with TW Artistic Director and University Advancement to support in-person and virtual events (DC Salons; subscriber chats; backstage sneak peeks; opening night parties; etc) to cultivate donors.Coordinate annual season launch party and fundraising eventResearch new grants between $500-$10,000.Coordinate with University Advancement to maintain grants calendar.Facilitate grant application of under $10,000, and well as state and federal grant applications that move through University Office of Sponsored Programs process.Social mediaMaintenance of Theatreworks social media (Facebook, Instagram, Twitter, Vimeo, YouTube)Design coordination for virtual projects (readings, panels) as needed Communications Facilitate annual season launch design process as liaison with contracted graphic designer and Theatreworks Artistic Director
  • Facilitate printed and virtual collateral design process as liaison with contracted graphic designer and Theatreworks Artistic Director
  • Facilitate playbill and noticeboard process with Advancement, Marketing, Theatreworks Producer, and playbill layout designer.
  • Upload Theatreworks promotional and archival photography to the website archive and keep records of best images to be used in promotional material.
  • Ensure proper information flow between ECFA Marketing Manager and Theatreworks so that all parties have access to necessary information.
  • Content Creation and Editing for Theatreworks specific communications:

    Writing and editing content for communicationsCreating and scheduling images and videos for social media postingWriting content for social media postsWriting and editing content for fundraisingMonthly donor circle emailsDonor circle renewal lettersPersonal donor thank you notesGrant narratives in collaboration with the Theatreworks Artistic Director and Advancement staffJob Competencies:

    What We Offer:

    Salary Range: Generally starting at Generally starting at $38,212 - $49,305

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    This position is dependent on the availability of auxiliary revenues funding.

    Physical Requirements

    While performing the duties of this job, the employee is frequently required to sit.  Employee is occasionally required to stand and walk. Tasks may involve looking at computer screen continuously for long periods of time, balancing, reaching and handling.  The employee must occasionally lift and/or move up to 20 pounds.
