Overview

The Princeton University Library seeks a dynamic individual to provide administrative support to the Deputy University Librarian and the business of the departments reporting to that office.

The Princeton University Library is one of the world's leading research libraries, serving a diverse community of 5,200 undergraduates, 2,700 graduate students, 1,200 faculty members, and many visiting scholars. Holdings include more than 7 million printed volumes, 5 million manuscripts, 2 million non-print items, and extensive collections of digital text, data, and images.

The Library employs a dedicated and knowledgeable staff of more than 300 professional and support staff working in a large central library, nine specialized branches, and three storage facilities.



Responsibilities

This position carries a broad range of responsibilities, including calendar management and scheduling, drafting letters and other correspondence, providing administrative support for searches and search committees, maintaining staff data and org charts, booking travel, and preparing expense reports. With peers in Administrative Assistants at Princeton University Library group (APPUL), they will share responsibility for office management tasks, greeting staff at the office entrance, and maintaining documentation regarding administrative procedures and best practices.



Qualifications

  • Bachelor’s Degree or equivalent
  • 5+ years working experience in a similar role
  • Excellent interpersonal and customer relations; professionalism and poise
  • Outstanding written and verbal communication skills
  • Strong organizational skills, including the ability to prioritize projects, manage multiple tasks, meet deadlines, work independently while also being a good team player, and engage in proactive problem solving
  • Strong skills with Google Workspace/GSuite tools, especially Google Drive, Docs, and Sheets
  • Ability to exercise discretion in confidential matters involving senior university/library administration and bargaining unit staff
  • Demonstrated commitment to continuous learning through training opportunities and self-guided education
  • Technically savvy and willing to learn new skills, tools, and technologies
