Job Description

Under general directions, will represent the interests and priorities of the Vice President for Business Affairs through effective communication, coordination and integration of the campus and divisional initiatives, priorities, goals and projects. The Executive Director, Operations (EDO) will provide independent analysis and judgment in prioritizing situations needing attention and take steps to ensure projects are moved forward and tracked for progress through completion.

Roles and Responsibilities:

  • Provide leadership and direction for the university functions of Procurement Services,

  • Environmental Health & Safety, University Auxiliary Services, Utilities and Energy Services,

  • Facilities, Planning and Construction, Parking & Transportation, and contract administration of third party outsourced services; food services, physical plant, housekeeping and bookstore.

  • Work with a large array of campus constituents from entry-level employees to senior

  • management; coordinate with the campus community to ensure strategic planning and projects are in alignment and on target with the University's strategic plan.

  • Work with campus leadership to oversee complex, high-priority projects with responsibility for outcomes.

  • Evaluate business procedures according to organizational objectives and apply improvements.

  • Work closely with division departments assisting with business planning; project management; developing budgets; performing research; recruiting and training employees and reporting on employee performance; office and facilities management; and clerical tasks.

  • Externally represent the University through membership and participation with the various San Antonio chambers of commerce, developers, city-planning organizations, county, municipal, and quasi-governmental organizations.

  • Liaising with Vice President for Business Affairs to make decisions and to provide assistance regarding operational activities and strategic initiatives.

  • Plan and monitor the day-to-day running of operations for Procurement Services, Environmental Health & Safety, University Auxiliary Services, Facilities, Planning and Construction and Parking Transportation, and Contract Administration in Business Affairs Division to ensure smooth progress towards strategic goals and the completion of projects and priorities established by the Vice President for Business Affairs.

  • Scope, plan and execute projects, which will often have a quick-turnaround timeline, with little outside assistance; and oversee transfer of projects to other stakeholders as appropriate.

  • Coordinate with the campus community, including the executive leadership team, to ensure strategic planning and projects are in alignment and on target with the University's strategic plan.

  • Organize and prioritize critical issues and provide the required information for the Vice President for Business Affairs to facilitate an efficient decision making process.

  • Provide oversight and guidance to projects of high importance.

  • Proactively identify information that has the potential to be impactful and elevate issues along with resolutions to the Vice President for Business Affairs in a timely manner.

  • Responsible for establishing and maintaining strong collaborative relationships with Deans, faculty, staff and other stakeholders across the university, as well as external constituents.

  • Perform appropriate research for special projects as determined by the Vice President for Business Affairs and be responsible for policy review, development, implementation, communication and compliance.

  • Assume leadership of special projects, as needed.

  • Work with campus leadership to oversee complex, high-priority projects with responsibility for outcomes.

  • Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvements.

  • Provide leadership and management to department staff and oversee all personnel actions, including interviewing, selecting, and orientation of new hires; training and evaluate all direct reports, and establish and maintain performance goals that are consistent with the mission and objectives of the department and the University.

  • Oversee customer support processes and organize them to enhance customer satisfaction; and evaluate overall performance by gathering, analyzing and interpreting data and metrics.

Required Education & Experience:

  • Bachelor's Degree in the area of business, finance, public administration, communications, arts or related field.

  • Ten years of progressively responsible experience in the area of operations management/project management/customer relations.

Preferred Education and Experience:

  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

  • Master's Degree.

  • Knowledge of higher education or complex organizations.

  • Project Management Professional (PMP) Certification.

  • Demonstrated experience in making and executing decisions after consultation in a manner that takes into account the best outcome for all stakeholders.

  • Ability to use considerable judgment, initiative, political savvy and independence.

  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.

  • Strong interpersonal skills, including diplomacy, negotiations, problem solving, and advocacy.

  • Exceptional verbal and written communication skills, as well as strong analytical skills.

  • Demonstrated consultative skills in working with internal and external constituent groups.

  • Ability to work with representatives from public and private entities and handle potentially sensitive situations.

  • Demonstrated ability to effectively supervise others, including delegation of work assignments and problem resolution.

  • Thorough knowledge and experience working in diverse business functions and principles.

  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.

  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.

  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

  • Demonstrated ability to maintain a high degree of confidentiality.

  • Excellent computer skills and proficiency with a variety of computer applications including word ­processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.

  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
