Description:

The Admission Operations Data Specialist is responsible for providing technical and operational support to the Hamilton College Enrollment Division in functional areas related to database and records management, reporting, document processing, communications, and Constituent Relationship Management (CRM) tool maintenance. The individual will be a member of the Admission Operations team, reporting to the Admission Operations Manager, and will also provide support for and work closely with the Director of Admission Data and Technology.

Responsibilities:

  • Support the Director of Admission Data and Technology in monitoring and troubleshooting the Admissions CRM (Technolutions Slate), ensuring that data is collected, entered, and maintained in a manner that effectively supports the Division’s enrollment goals.

  • Work with the admission technology management team to develop, coordinate, and execute Slate functionality to enable admission officers and operations staff to perform their responsibilities efficiently and accurately. The functions to be supported include, but are not limited to, communications management, web portals, data imports, and application review and selection processes. 

  • With direction from the data management and enrollment leadership teams, create and implement queries and reports that enable accurate assessment of Division initiatives.

  • Support the Director of Admission Communication in using Slate for routine and strategic outreach, including but not limited to email, web engagement, and direct mail.

  • Serve on an admission operations team that manages data entry and data imports, application (and supplemental materials) processing,  and responds in a timely and professional manner to all general inquiries from prospective students and parents, as well as school officials, related to Hamilton’s application process. 

  • Maintain and apply knowledge of Admission policies, programs, and application requirements in order to manage records appropriately and respond accurately to questions, as well as assist with routine communications and messaging. 

  • Assist the Operations Manager with special projects as needed, and perform other responsibilities as designated by the Admission data management and enrollment leadership teams. 


Qualifications:
  • Minimum of 2 years of relevant experience (demonstrated database management and overall strong technological skills) required.

  • Bachelor’s degree or equivalent training recommended.

Knowledge, Skills & Abilities:

  • Experience within an admissions work cycle, a document management system, SIS, and CRM preferred.  Knowledge of Technolutions Slate is highly desirable.

  • Sound judgment, and a clear understanding of and discretion with the handling of personal and confidential information is essential.

  • Excellent analytical, organizational, interpersonal, and written and oral communication skills are strongly desired.

  • Willingness and ability to prioritize and manage multiple tasks, serving as a close collaborator with teammates in division and across campus, and work in an office with a high level of customer service is expected. Demonstrated commitment to supporting diversity, equity and inclusion is essential.

  • Demonstrated understanding of SQL, Javascript, and/or HTML is desirable.
