Administrative Associate 1- Chemistry

Regular Full-time, Pay Grade MR03, non-exempt

Description

Under the general direction of the Business Manager and Department Procurement Specialist.  This position is responsible for the accurate, efficient operations of the Chemical/Business Office Store including, but not limited to, receiving, customer service, inventory, material safety, and other special projects.

Duties and Responsibilities

Receiving:  Receives and signs for goods shipped to the main Chemistry building; promptly notifies faculty and staff when ordered items are received; documents and notifies the Department Buyer of any order discrepancies; and provides receiving documentation to the Accounts Payable Specialist as support for payment.

Store Operations:  Provides excellent customer service to faculty, staff, students, and others that pick up ordered items or   purchase items from the store; maintains the neatness and cleanliness of the store, receiving area, and loading dock; fills LN2 tanks as requested by faculty and students; and monitors store inventory and notifies the Department Buyer when store items need to be purchased.

Inventory:  Completes quarterly cylinder and store supply inventory; completes the annual chemical inventory; and works with Department Buyer to complete annual equipment inventory.

Other:  Complies with and enforces hazardous material safety policies in the business office; acts as backup to other business office staff as needed; and performs special projects as determined by the Business Manager.

Knowledge, Skills and Abilities

Required:  MS Office skills; ability to learn new software and processes; ability to improve processes through critical thinking; ability to effectively communicate with diverse faculty, staff, and students; ability to multi-task, be organized, and pay attention to detail; and ability to be dependable, punctual, and a team player.

Other required conditions of employment:  Valid driver's license, the ability to lift and move up to 50lbs, and the ability to wear personal protective equipment when required.

Preferred:  Knowledge of IRIS and University policy; and knowledge of hazardous material handling and safety.

Minimum Educational Requirements:  High School Diploma/GED

Required Experience:  Two years of office or customer service

Preferred Educational Requirements:  Bachelor’s Degree

Prefered Experience:  Four years of office or customer service experience in a university environment.
