Referral Coordinator

Regular, Full-Time, Market Range 07

The College of Veterinary Medicine invites applicants to apply for a new Referral Coordinator position located in the Small Animal Clinical Sciences Department.  The primary purpose of this position is to provide a second dedicated person to act as liaison for referring veterinarians during the referral process.  The Referral Coordinator fosters strong, cordial relationships between The University of Tennessee Veterinary Medical Center and Referring Veterinarians. 

Typical Responsibilities:

  • Updates and provides accurate estimates for examinations and procedures performed at University of Tennessee Veterinary Medical Center (UTVMC).
  • Educates Referring Veterinarians and their staff on proper referral procedures.
  • Assists in more complicated appointment scheduling including, but not limited to: urgent appointments, dual services appointments for the same patient on same visit, specific clinician/surgeon expertise, or if the Referring Veterinarian is unsure which clinic service should receive the patient.
  • Ensures follow-up communication is completed with the referring veterinarian by UTVMC clinicians/surgeons in a timely manner for cases seen through the Emergency Critical Care Service.
  • Verifies Primary/Referring Veterinarians are informed about deceased patients.
  • Forwards requests from Referring/Primary Veterinarians for patient updates to the appropriate individual.
  • Forwards professional consult requests from Referring Veterinarians to the appropriate individual or service.
  • Updates database of clinic and veterinarian contact information to assure prompt communication.
  • Develops internal protocols for best communication practices with the assistance of the Department Head and Clinic Director.
  • Verifies appropriate referral form and patient medical history has been requested.
  • Reviews paperwork for completion and request any missing information.
  • Assists in collection and dissemination of imaging when the Image Facilitator is unavailable.
  • Works closely with the Referral Director, Web Designer, and Graphic Designer to develop content for service information, pamphlets, brochures, guides, presentations, events and website content.
  • Updates official referral forms as necessary.
  • Recognizes and seizes opportunities to market services to Referring Veterinarians.
  • Meets with various SACS departments and services to market new treatment, procedure or surgery options offered.
  • May perform clinic visits to meet with Referring Veterinarians and their staff.
  • Documents feedback provided by Referring Veterinarians.
  • Provides initial assistance as needed.
  • Shares feedback to management at the request of the Referring Veterinarian.
  • Follows up with the Referring Veterinarian as necessary.
  • Determines if the feedback requires adjustment in current protocol. Engage with Deans, Department Head, Clinic Director and Referral Director to develop and implement revisions.
Knowledge, Skills, and Abilities Needed:

Expert knowledge of veterinary nursing.  Excellent communication skills. Excellent judgment and decision-making skills.  Strong organizational and time management skills. Ability to pay close attention to detail.

 

 



Qualifications
Minimum Qualifications:

Associate’s or Bachelor’s Degree in Veterinary Technology.  Three years of experience in a veterinary medical center or five years in private veterinary practice. Must be a graduate of an American Veterinary Medical Association (AVMA) accredited program in Veterinary Technology.  Must have a Veterinary Technician License and obtain a Tennessee license as a veterinary technician within one year of employment.

Preferred Qualifications:

At least one year experience practicing as a Licensed Veterinary Medical Technician at UTVMC.
