A.T. Still University (ATSU) is seeking a full-time Administrative Assistant to manage front desk activities on a daily basis and to perform a variety of reception, clerical, and administrative tasks at ATSU’s California location. This role will serve as the first point of contact for the location and includes welcoming guests, greeting people who visit the front desk, coordinating front-desk activities, distributing correspondence, and redirecting phone calls. Additionally, this position supports faculty, staff, and preceptors to ensure efficient and effective operation. The employee must be able to complete all duties in a confidential and timely manner with a high level of detail and quality. This role requires schedule flexibility as some activities may occur outside of regular office hours.

RESPONSIBILITIES:

Reception/Clerical Support:

    Greet and welcome guests as they arrive at the office

    Direct visitors to the appropriate person, office, and/or program

    Answer, screen and forward incoming phone calls

    Ensure reception area is maintained, with all necessary materials (e.g. pens, forms and brochures)

    Provide basic and accurate information in-person and via phone/email

    Receive, sort, and distribute daily mail/deliveries

    Maintain office security by following safety procedures and controlling access via the reception desk

    Order front office supplies and keep an inventory of stock

    Update calendars and schedule meetings (Zoom and in-person)

    Assist with office expenses and costs reporting

    Assist with filing, proctoring exams, copying, faxing, printing, scanning, mailings, scheduling of meetings, computer issues, new faculty onboarding, answering phone and emails, and event planning

Administrative Support:

    Provide administrative support for the location including administrative support for the CCPA program assistant

    Assist with admissions, interview days, graduation, white-coat and awards ceremonies, open house, advisory board meetings, recruiting events, end-of-rotation days, paperwork for student certification, and employment requests

    Support faculty, staff, and preceptors, as well as others associated with the program(s) 

    Act as a liaison to outside parties as assigned

    Attend meetings and record minutes

    Participate in discussions and actions related to accreditation compliance 

    Assist students

    Keep students informed

REQUIRED QUALIFICATIONS:

    Associate Degree, preferably in a field related to administrative or academic administration. Will consider documented experiential qualifications with the ability to perform or master the above duties and responsibilities in lieu of an associate's degree

    Demonstrated experience and skills transferable to this role 

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Publisher) as well as Google Suite

    Ability to type at least 45 wpm

    Ability to maintain confidentiality

PREFERRED QUALIFICATIONS:

    At least two years of experience in a similar role

    Demonstrated commitment to diversity and service in underserved communities

    Experience working with college students either in the classroom, recruitment, support services, or administration

    Experience processing and reviewing budgets, accounts receivable and payable

    Experience with applications such as Explorer, Mozilla Firefox, Chrome, Safari, G-mail, Microsoft Edge, Windows or Mac operating systems, Adobe Acrobat, Office 365, and Outlook

    Working knowledge of Learning Management Systems (Canvas)

    Working knowledge of Student Management Systems 

    Working knowledge of video conferencing (Zoom)
