School Description: The School of Humanities and Sciences (H&S) is the center of a world-class liberal arts education at Stanford University. Department/Program Description: The Department of Music at Stanford brings together music-making and scholarly research in composition, conducting, performance, music history, ethnomusicology, music theory, cognitive science, intermedia, and computer-based technologies.

Departmental activities serve a broad and diverse constituency on campus and in local communities, with an abundance of courses, concerts, performance opportunities, research projects, workshops, and lectures throughout the year. Ensembles from a variety of world cultures are open to all students: orchestras, jazz and chamber ensembles, taiko, guzheng, steelpan, and several choral groups. Many of the faculty have affiliations with other departments, programs, and interdisciplinary centers, such as Art and Art History, Comparative Studies in Race and Ethnicity, Computer Science, Electrical Engineering, German Studies, Islamic Studies, Neuroscience, and Symbolic Systems. Alumni include faculty in universities and conservatories around the world, researchers in the technologies of music and acoustics, members of major orchestras, soloists, chamber musicians, and sound artists, composers and arrangers in contemporary, film, and game music.

The Department of Music hosts many performing ensembles and combos. Participation is not limited to Music majors, but auditions are required. Some ensembles are open to community members. Some ensembles require students to audition each year.

The Stanford Symphonic Chorus is the largest choral ensemble on the Stanford campus and comprises 200 singers including students, faculty, staff, and community members at large, under the baton of Director of Choral Music and Conductor Stephen M. Sano. The ensemble specializes in major masterworks for chorus and orchestra and has performed most of the standard corpus of masterworks literature. The Chorus generally presents three different concert programs per year, one each academic quarter, and collaborates regularly with the Peninsula Symphony and the Stanford Symphony Orchestra. A concert program typically features a major choral-orchestral masterwork, often alongside other choral or purely instrumental pieces. The summer term features the Stanford Summer Chorus, an unauditioned ensemble open to singers of all ages and ability levels, which performs in early August.

Hailed for “Choral singing of the highest order — exquisite singing with polished refinement!” by Craig Jessop, the former Director of the Tabernacle Choir and Orchestra at Temple Square, the Stanford Chamber Chorale is the Stanford Department of Music's most select choir. Directed by Dr. Stephen M. Sano, the group is dedicated to the performance of literature best suited to the small choral ensemble. Their successes at home and abroad underscore Stanford's commitment to music performance and the arts.

Members of the ensemble are drawn from both graduate and undergraduate populations at Stanford University and hail from across the United States and around the world. The singers represent a broad diversity of academic disciplines and degree programs, and - while maintaining their rigorous academics - meet a demanding schedule of performing, touring, and recording. The Chorale's three most recent albums appeared on the first-round ballot for the Grammy Awards in several categories, including “Best Choral Performance.”

Position Summary: The Department of Music is seeking a 50% FTE ongoing administrative support person for its Choral Studies Program. The successful candidate will provide administrative and logistical support for the department's five choral ensembles under the supervision of the Director of Choral Studies. Responsibilities include: coordinating choral rehearsals, performances, and workshops; managing the choral library; preparing publicity and program materials; and planning ensemble tours.

The ideal candidate is a friendly, proactive, and dependable self-starter with strong interpersonal and communication skills. This is a busy position at times requiring a high level of professionalism, productivity, accuracy, organization, multi-tasking, independence, sound judgment, and decision-making. The position requires a motivated person with a positive attitude and a passion for customer service and supporting others to manage a wide variety of tasks in a fast-paced academic environment with frequently shifting priorities.

In this role, you will:
  • Respond to inquiries, determine, and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
  • May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
  • Maintain approved content on websites.
  • May perform human resources transactional support, e.g., timecards, I9s, and/or faculty affairs support.
  • May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

Education & Experience:

High school diploma and three years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.

In addition, preferred requirements include:
  • Working familiarity with classical music and the choral world in particular.
  • Reliability, attention to detail, and the ability to simultaneously manage several ongoing projects
  • Stellar writing, editing, and proofreading skills in both academic and non-academic contexts.
  • A collegial working style and the ability to interface effectively with departmental faculty, staff, and students
  • Previous experience in managing group travel is a plus, but not required.
