Job Summary:
We are currently seeking skilled and team-oriented applicants for the following position: Program Specialist 2 - Publication & Web Development

This position reports to the Assistant Vice President of Academic Planning and Registrar. In the support of the University mission, this position provides exceptional student service working independently, under general direction, in catalog production such as maintenance, tracking, monitoring, editing, creating and updating the university catalog for courses and programs in CourseLeaf CAT and CIM, the student information system, and on the web; research and report the impact of changes made to courses and/or programs to representatives of university faculty committees; maintain, create and update course restrictions and prerequisites for catalog publication, coding and testing in Banner SIS for accurate processing; provide assistance and training in the software CourseLeaf and troubleshoot problems for all academic areas as needed; develop and maintain web pages, academic calendar, and departmental deadlines in 25Live and WordPress; develop forms for web applications for Records and Registration Office and Academic Planning, using specialized publication software Gravity Forms and Ellucian Workflow. Assist with publication and training documents for commencement ceremonies. Assist the athletic compliance officers in monitoring and reporting athletic eligibility according to NCAA regulations; assist as back up for classroom scheduling and course maintenance processing.

Required Qualifications:
  • Bachelor’s degree AND two years of experience in the program specialties, relevant higher education work experience may substitute for the degree on a year-for-year basis.
  • Minimum of two years’ experience using InDesign, CIM, CAT, and 25Live or comparable software to produce and publish documents similar to catalogs, announcements, and publications.
  • Experience with web design tools.
  • Candidate must demonstrate interest, ability and/or experience promoting cultural competency, universal accessibility, and/or diversity.

Program Specialty Includes:
  • Experience reviewing curriculum for university policy compliance.
  • Experience managing large-scale projects/processes, e.g. curriculum management or university catalog production.
  • At least two years of experience managing transactional work through a complex and integrated computerized student information system, preferably Ellucian Banner.
  • Experience with Microsoft Office Suite required, including spreadsheets.
  • Ability to quickly learn and use specific software packages related to fulfillment of responsibilities, e.g. CourseLeaf, Banner, etc.
  • Demonstrated critical thinking skills, including understanding of cause/effect relationships and application thereof.
  • Demonstrated self-starter. Ability to work independently in a fast-paced and customer service-based environment.
  • Strong verbal, written communication, and problem-solving skills. Ability to effectively communicate with a wide variety of university constituents.
  • Experience in customer service settings.
  • Experience in enrollment services.

Preferred Qualifications:
  • Minimum of 3 years progressive experience in a Registrar’s Office, preferably in a large, diverse university.
  • Web-design experience, including web-publishing and editing.

  • Receive, create, edit, track and maintain course and program records for the catalog in the Student Information System using CourseLeaf CAT and CIM. 
  • Attend CPAC (Course and Program Approval Committee) as R&R office and Academic Planning representative. 
  • Coordinate with Academic Affairs staff for problem resolution. 
  • Work with departmental staff to train and assist with correct entry of information into CIM and CAT.
  • Consult with CourseLeaf technical support for problem resolution.

  • Edit and prepare the annual university catalog for web and print publication. 
  • Provide administrative support to Academic Affairs staff towards publication. 
  • Coordinate with Human Resources, departmental staff and others regarding electronic catalog copy.

  • Provide administrative support for reporting and tracking Athletic Eligibility records, monitoring quarterly athletic eligibility and minimum credit requirement. 
  • Transmitting reports of final grades each term using NCAA CA.

  • Maintain/build departmental web pages in WordPress. 
  • Administer University Academic Calendar and departmental deadlines in 25Live.

  • Assist as back-up for course maintenance and classroom scheduling as needed.

Conditions of Employment:
This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value, as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.

This position is covered by the Washington Federation of State Employees’ Collective Bargaining Agreement.
Salary Information: The salary range for this position is $40,308 (minimum) up to $52,476. Where the hired candidate will begin within this range is dependent on education, experience and skills.
