Essential Job Duties:

The Admin Specialist will manage the front desk activities for clients (patients) coming into to the clinic. Includes all activities required for insurance billing (see below), greeting clients, and answering the phones.

Activities include:

  • Register new clients
  • Update demographics/guarantor information for existing clients
  • Schedule appointments
  • Verify insurance and obtain prior authorizations as needed
  • Check clients in/out
  • Take payments for services in the form of cash, checks, money orders, or credit and debit cards (co-pay, co-insurance, deductibles not met)
  • Reconcile clinic activity to payments
  • Make deposits

With the use of Telehealth, the admin specialist also provides support to families in terms of signing up for MyChart and accessing telehealth sessions.

The Admin Specialist will manage the referral process to ensure it is successfully completed and oversee the medical records. With regard to the referral process, this may include answering questions from clients or their families and gathering client and family information used in diagnostic evaluations. The position may also gather and organize test results and documentation from external clinicians and provide to the clinical staff for review. With regard to Medical Records, the Admin Specialist will disseminate reports or available records per UNC HC and department procedures following HIPAA regulations and upon approval of the business office. Document all disseminations according to department procedure. Create client “hard charts” per office procedure for documentation that cannot be scanned into EPIC. Request copies of microfiche records for dissemination or office use as needed.

Provide general support to Director, Associate Director and other clinical staff as needed. Answer and direct non-clinical phone calls, transfer to voicemails or take messages accordingly. Create/Edit general correspondence regarding office operations. Schedule non-clinical meetings for Director/Associate Director and Specialists as requested by Clinical Director. Make copies, update calendars, mail, order supplies and other general administrative duties as needed/requested by Clinical Director.

Prepare training materials for trainings and workshops as needed. Provide onsite support for participant registration. Book venues, caterers, and assist with other site logistics as needed.
