Salary Information:

HIRING RANGE: $28.31-33.31 per hour based on experience.Pay Grade: C5

Job Summary:

As a versatile and resourceful team player, the Assistant to the Office of the President will provide meeting coordination, event planning, travel coordination, and expense reporting for DMACC’s President. Position serves as Lead Worker for the Office of the President. Position also provides administrative support for the Office of Institutional Effectiveness. The position serves as a liaison to senior administrators across the College and with corporate, government, and board level contacts. Leader will possess exceptional interpersonal communication skills, strong organizational, technological and problem-solving skills, and a friendly, professional demeanor.

Essential Functions:

Serve as the lead worker for administrative support for the Office of the President and Office of Institutional Effectiveness. Work with Administrative staff and administrative support in creating a professional, supportive, and responsive work environment in furtherance of a variety of office functions. Prepare and process personnel and payroll documents, responsible for office coverage, coordination of administrative support work, maintain attendance records, and monitor leave usage. Lead in the office for preparation, review, and processing of work orders, purchase orders, expense reports, and requests for pays; order and maintain supplies for the President’s office. May determine work procedures to create efficiencies. Key liaison to the President. Handle a large number of inquiries, special requests and concerns about all aspects of the College’s operations through various communication modems. Assist in managing the accessibility of the President to College constituents. Use of discretion, independence, initiative, decision making and problem solving in handling messages, information, and correspondence. Develop a system for filing and maintenance of pertinent materials, records and correspondence. Adequately prepare the President for meetings and appointments. Inform President and assist in responding to incidents or occurrences affecting the College, welfare of students or staff. Acquire knowledge of the College’s processes, personnel and organizational structure to appropriately refer or assign responsibilities to appropriate college representatives for action or response. Independently respond to routine requests and matters not requiring the President’s attention. Draft various types of communication, reports, or correspondence on behalf of the President. This may include agendas, presentations, memoranda, and emails. Responsible for responding to surveys on behalf of the President as requested. Assist the President in carrying College responsibilities. This includes scheduling and coordinating the President’s time. Responsible to maintain internal and external relations calendar. Must be able to make independent decisions when conflicts occur. Assist with the planning, organizing and execution of functions hosted by the President. Facilitate the success of meetings and appointments through coordination of logistics like materials, room arrangements and technology. Manage all logistics for the President’s national and /or international travel. Maintain awareness of College/President’s memberships on boards and various councils. Gather input and coordinate training on In-service days for administrative support personnel. Perform other duties as assigned.

Required Qualifications:

Two years post-secondary education. (A combination of post-secondary education and related experience may substitute for the degree. 6 months of work experience is equivalent to 15 semester credits.)
Four years administrative support at the executive level of a large organization.
Adept at using Microsoft applications to create and manipulate spreadsheets, extract data from information systems and databases to produce reports, develop PowerPoint presentations, and other documents.
Experience with being a lead worker or office manager.
Experience with scheduling travel arrangements and organizing meetings.
Demonstrated ability to cultivate and maintain effective professional working relationships with a wide variety of individuals coming from diverse backgrounds.
Strong communication skills, including ability to create and proof professional communications.
Demonstrated experience in customer service and professionalism and ability to handle confidential matters with discretion and proper judgment.
Ability to plan, organize, manage time and handle multiple tasks simultaneously.
An ability to work on a varied schedule as needed to meet the needs of the President.
