Job Description:

The Admissions Officer is responsible for the overall management of operations for Application Services by performing a variety of administrative and support duties which require an extensive knowledge of the University of Florida and State University System policies and FERPA regulations. The incumbent will effectively monitor the admissions application flow and review process which includes, matching of documents to application files, transcript evaluation, and review of supporting documents for residency classification. The incumbent will also manage departmental requests regarding applications and troubleshoot and correct data discrepancies within the MyAdmissions and SIS systems. Additionally, the Admissions Officer will perform initial conduct review for graduate, professional, post-baccalaureate, and certificate applications, using guidelines established by the university’s general counsel. A thorough knowledge of majors, degrees, and program levels shall be maintained for processing the application and evaluating admission credentials. Knowledge of immigration documents and the residency rules and regulation adopted by the State Board of Education and the Board of Governors for the State University System will be required to determine residency classifications for tuition purposes. A thorough knowledge of data integration processes between MyAdmissions and the SIS will be required to troubleshoot and manage admissions data across the different systems. The incumbent will also monitor applicant and departmental communications to assure continuity and effectiveness of Application Services outreach and will update Slate and SalesForce systems as appropriate.

The Admissions Officer will be responsible for human resource activities for the unit which includes creating training materials, coordinating and conducting training for Admissions business processes across all software platforms utilized in the office, monitoring individual time reporting, time approvals, coordinating staff work schedules to ensure sufficient office coverage, coordinating interviews for new hires, and evaluating staff performance through the university’s annual performance review process. The incumbent will be responsible for assuring that staff comply with UF regulations (such as FERPA), by coordinating with Business Services. The position will also maintain contact information for the Application Services Unit by ensuring this information is up-to-date with the Enrollment Management Continuity of Operation Plan (COOP).

The Admissions Officer assists with Admission Office visitations, telephone, and email inquiries. This position serves as a tier 3 team member for the OneStop Enrollment Services, which is the level of escalation for complex Admissions related cases. The incumbent will also serve as a member of the Admissions Residency Team, which manages sensitive residency cases and prepares residency petitions to be reviewed by the Residency Appeals Committee. This position will assist in the compilation of the Office of Admissions’ annual report and assist the Assistant and Associate Directors in the formation and periodic updates to the Office of Admissions’ strategic plan.

The Admissions Officer assists with the holistic review process for freshman applicants. This responsibility includes weekly assignments of application files that must be completed on schedule and preparation of decision recommendations for assigned territories.

The Admissions Officer performs other duties and projects as assigned by supervisor.

$41,500.00

Minimum Requirements:

Master’s degree in an appropriate area; or a bachelor’s degree in an appropriate area and two years of relevant experience.

Successful supervisory experience
Knowledge of University of Florida and State University System policies

Excellent written and verbal communication skills

Experience with customer service and public relations

Ability to plan, organize and coordinate work and training assignments

Experience with Slate and/or PeopleSoft Campus Solutions
