General Summary

The Operations Coordinator (Admissions and Student Services) reports to the Director of Business and Operations. A successful incumbent will develop a thorough understanding of the business processes. The Operations Coordinator will coordinate weekly meetings with the admissions and student services teams to determine priorities and balance the work of the student employees to ensure that support is provided equitably and according to the needs of the office. While supporting the daily work of the admissions and student services teams, this position will supervise and assign tasks to the student employees and is responsible for organizing and ensuring efficient operation of the front desk/reception area.

This position is a one year appointment, extension dependent upon future funding.

Essential Functions

Supervise Student Employees: Interview, hire and train student staff; coordinate and manage student employee work schedules quarterly; supervise in coordination with the Director of Business and Operations; assign and oversee work assignments; lead regular check-in meetings; conduct bi-annual performance evaluations.

Student Services Support: Assist the student services team with sending out oral defense paperwork, responding to general emails, formatting theses and dissertations for graduating students, receiving student services forms and other duties as assigned. During high-volume graduation terms (spring and summer), collaborate with student services team to assist with the graduate degree certification process, management of graduation applications including late graduation applications and graduation delays and assisting with the spring and summer commencement ceremonies.

Admissions Support: Respond to prospective student emails, manage application fee waivers, scan and upload transcripts, transcript review, maintain files and other duties as assigned.

Manage Reception Area and General Office Needs: Maintain orderly and welcoming reception area; manage scheduling of front desk/phone coverage, develop intra-office communication protocols, monitor and order office supplies, distribute incoming mail and packages.

Required Qualifications

  • Bachelors degree.
  • 2 years of administrative/office experience in a customer service role.
  • Experience with Microsoft Office products including MS Word, Excel and Outlook.

Preferred Qualifications

  • Experience using Ellucian Banner, Technolutions Slate or similar systems.
  • Office experience in a higher education setting.
  • One year of supervisory experience.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $21.00 - $25.00.

The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidates sex or any other protected status.
