Your opportunity:

Advancement Services at DUA is responsible for finance and administration, facilities and space management, knowledge management, human resources, alumni and donor services and information management. With the breadth of services we deliver, our team is comprised of individuals with a broad range of knowledge and experience. We hire outstanding people from a variety of backgrounds and currently seek an Constituent Services Administrator to join our diverse group of talent.

Under the direction of the Director, Alumni and Donor Services, the Constituent Services Administrator is a cross-functional position performing duties related to constituent record maintenance, ongoing contactability initiatives, alumni and donor customer service, pledge and gift administration. The incumbent supports implementation of DUA contactability initiatives and ongoing contactability maintenance, ARBOR data integrity work including financial and biographical constituent data, while maintaining confidentiality and privacy concerns in accordance with the constituent’s wishes and University policies.

Your responsibilities will include:

  • Maintaining a database of contacts
  • Liaising with internal and external contacts to obtain important data not available through the financial system
  • Verifying donor contact records are coded correctly
  • Analyzing data
  • Processing donations in the donor management system
  • Tracking and monitoring donations received against donations pledged
  • Verifying the accuracy and completeness of information

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three (3) years relevant experience in administration.
  • Prior customer service experience in a professional setting.
  • Experience in financial procedures, biographic data and processes with respect to charitable donations.
  • General administrative accounting background.
  • High level of computer aptitude and accuracy required. Knowledge of CRM software (such as Blackbaud or equivalent) and FIS an asset.
  • Ability to exercise initiative and sound judgment, tact and discretion in the performance of the job functions where confidentiality is essential.
  • Ability to pay meticulous attention to detail and accuracy of information in an often fast-paced and demanding environment. Strong verbal and written communication skills.

  • Familiaritywith the University's policies, structure and systems an asset.
  • Knowledge of CRA guidelines and federal and provincial privacy and taxation legislation an asset.
