Job Summary Responsible for serving as the primary University System of Georgia (USG) representative for facility management outsourcing agreements and managing the overall relationship with the Supplier and participating USG Institutions. Supports Director of Real Estate Ventures in driving consistency in processes and standards for facilities management, including operations and maintenance (O&M), and capital repair and renewal (CRR). Monitors and reports on Supplier’s performance of its contractual requirements and ensures all aspects of the agreement are adhered to or modified as required to reflect current operating practices. Has overall responsibility for managing and coordinating Board of Regents and USG Institution compliance with its obligations under the agreement. Works with Supplier’s Account Director to support the realization of the goals and objectives of the relationship.

Responsibilities
  • Monitor and ensure Supplier provides its required deliverables and meets its contractual commitments. (40%) Sub tasks include:
    • Review monthly invoices for accuracy and recommend payment by Institutions
    • Review Supplier’s management reports and act on identified opportunities and risks
    • Participate in the resolution of escalated issues and track and report on progress
    • Manage the approval or rejection of Supplier requests that have financial consequences in excess of pre-established expenditure amounts, fees or rates
    • Manage the Supplier’s performance program as prescribed in Supplier Agreement
    • Manage the approval or rejection of any Continuous Improvement Plan for improving Supplier’s performance
    • Ensuring that all contract-related policies and procedures developed by Supplier for the relationship are approved and implemented
    • Work with Supplier on addendums and updates to the Agreement
  • Liaise with and provide guidance to Supplier’s leadership with regard to USG’s strategic needs (5%)
  • Manage the governance process and function, including scheduling, hosting, and reporting governance meetings in compliance with the agreement (10%)
  • Coordinate with USG institution stakeholders in fiscal affairs, student affairs, housing, and facilities to communicate and align on program expectations and outcomes. (40%)
    • Conduct regular site visits, calls, and meetings with Institution and Supplier representatives
    • Attend Quarterly review meetings at each Institution
    • Coordinate the annual development and approval of O&M and CRR budgets for each participating institution
    • Support the BOR/USG Institution’s leadership in ensuring Supplier compliance with approved budgets
  • Other ad hoc special projects, as assigned by BOR’s Director of REV (5%)
Required Qualifications Bachelor’s degree and minimum of five years experience in facilities operations and/or property management.

Preferred Qualifications
  • Master's degree and experience in higher education and management of student housing or multifamily residential facilities preferred
  • Certification in facilities and/or property management preferred, such as Certified Educational Facilities Professional (CEFP), Certified Facility Manager (CFM), Facility Management Professional (FMP), Certified Property Manager (CPM), Sustainability Facility Professional (SFP).

Ability to gather, synthesize, and analyze large amounts of data and communicate relevant significant findings

Able to juggle quickly changing priorities, able to work with all types of people in different disciplines and positions

Customer relations skills, good communication and aptitude to learn new things

Must have the ability to develop and present concise executive level reports

Proficiency in MS Office suite, including Excel, PowerPoint, and Word

Conditions of Employment

Position is a Limited-Term employee position funded through a master service agreement (MSA) with a supplier of student housing operations and maintenance services.

Other Information

Ability to travel within the state of Georgia approximately 30%-50% of the time, including overnight travel as needed.
