Position Description:
The Program Administrative Specialist will support to the program faculty, including document preparation, database management, administrative services for teaching, research, and professional service activities. Independently manage the needs of the faculty; use various software (Windows operating system and Microsoft Office Suite) to prepare documents including but not limited to extensive course materials, exams, manuscripts, tables, charts, graphs, CV's, dossiers, minutes/agendas, reports, correspondence and mass mailings using appropriate formats; transcribe from Dictaphone and Dragon Naturally Speaking software; mail merge; design and maintain databases and spreadsheets; prepare reports for program directors, and prepare documents for computer presentations, PowerPoint slide presentations; create and manage access codes for students to use web based learning programs (DXR, E-log, Evolve on-line systems), order textbooks using online textbook requisitions; proctor examinations. Independently prepare forms for direct purchase and reimbursement for travel, check requests, LVOs, business cards, etc. using on-line administrative functions (Bruin Buy/PAC systems, Standard Register); develop and prepare financial reports for budgets and reconcile ledgers; process facilities service requests; order and maintain supplies using on-line system through Bruin Buy while evaluating and analyzing within compliance of expense budget. Independently maintain petty cash accounts for PI's in compliance with all policies and procedures. Provide support for grant proposal preparation by editing, completing, and reviewing forms and assembling proposal package. Provide technical resources and support to faculty and staff for utilization of computer software, hardware and LAN, LCD equipment, laptops, etc. Manage and distribute keys for personnel as directed; manage guest parking; schedule appointments for faculty; triage telephone calls and messages; sort and distribute mail; support fax and photocopy requests, act as key operator for equipment. Provide backup to Program Cluster Support staff, and perform other duties as assigned.
