Job Description Summary
The Associate Director of Game Operations supports the Athletic Operations department by scheduling all DRIA facilities, and planning and managing events as assigned. Responsible for staffing and managing operational building and event staff, contracted external medical services, internal security services and internal parking services to meet the game management needs of coaches and student-athletes. Responsible for distributing scheduling reports and intercollegiate game contracts, and scheduling facility field lights and electronic door controls. Performs fiscal operations support for the Game Event Management budget as assigned. Coordinates internal security staff needs through the Division of Public Safety and parking operations needs through Penn Transportation and Parking. This position receives direct administrative supervision and guidance from the Assistant Athletic Director, Operations.

Job Description

Responsibilities
  • Manage & process scheduling requests for facilities & rooms for Intercollegiate, Recreation, & Business Development within DRIA's scheduling database per DRIA's priority policies. Create, update, & distribute reports & calendars routinely. (25%)
  • Perform Event Manager duties for all Intercollegiate and Business Development events as assigned. Act as tournament director for assigned Ivy League & NCAA championships hosted at Penn. Coordinate all event set ups & breakdowns. Contact all visiting teams & officials. Assist planning & managing Penn Relays by coordinating & supervising staffing, coordinating Penn Police, & coordinating parking. (25%)
  • Recruit, hire, schedule, train, manage, & process payroll for all operational building & event staff including; temporary Operational/Building supervisors (approx. 12 staff), work study (approx. 30 staff), game staff contractors (approx. 30 staff), & internship program (approx. 2 staff). Coordinate & supervise contracted external medical services (NES), internal security services (Penn Police/Allied Universal), & internal parking services (Parking & Transportation/Aramark) (20%)
  • Create, distribute, & inventory Intercollegiate game contracts through DRIA's electronic & sharing systems. (5%)
  • Perform fiscal operations support for the Game Event Management budget. Input & distribute event work orders for all Intercollegiate events & track costs, monitor & track GEM budget through InfoView & submit & track purchase orders & budget transfers for NES, Aramark Parking, DPS, Allied, & Business Services. (5%)
  • Perform weekly facility scheduling functions such as inputting & distributing field light schedules through Musco Control-Link system & schedule electronic unlock/un-alarm requests with Public Safety. (5%)
  • Perform DRIA security coordination with University contracted services scheduling & monitoring Allied Universal staff. Plan & supervise night & weekend security checks by Operational/Building supervisor staff. (5%)
  • Act as DRIA parking liaison with University departments (Transportation & Parking & Public Safety) working together to oversee all permit & event parking needs for the department & securing bus parking for all visiting teams & rental events. (5%)
  • Other duties & responsibilities as assigned. (5%)


Qualifications

A Bachelor's Degree is required and 3-5 years of experience or equivalent combination of education and experience is required. A degree with an emphasis in sports management/administration, business administration, recreation, physical education, or other related field is preferred. A strong background in event management and risk management is required. Demonstrated knowledge of fiscal operations, preferably in a higher education setting strongly preferred. Requires effective organizational, management, leadership, communication, and interpersonal skills. Computer literacy is required. Previous supervisory experience of a temporary staff working in a collegiate athletic facility strongly preferred. Ability to work evenings and weekends required.
