Full-Time, Non-Exempt, Hourly, Staff Appointment

Under the direction of the payroll manager, the accounting technician III primarily compiles, enters, computes, posts wages, and reconciles errors for the monthly, bi-weekly, and student payrolls, including the non-resident population of the student payroll. The accounting technician III will be expected to work closely with campus departments in all payroll and other accounting related matters. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Coordinate, compile, and process employee payroll including monthly and biweekly
  • Launch and complete all post payroll integrations and submit necessary payments to accounts payable
  • Utilize Workday HCM/payroll software to process all payrolls
  • Maintain employee confidence and protect operations by keeping human resources and payroll information confidential
  • Identify, research, and resolve payroll problems in a timely manner
  • Respond to inquiries from employees and supervisors regarding payroll related issues
  • Prepare journal entries, reversals, voids, deletions, and payment requests
  • Serve as primary contact person for payroll inquiries; redirect questions to appropriate colleagues
  • Work closely with the Office of Human Resources, Office of the Provost and Dean of Faculty, and various campus departments to collect and process new hires, terminations, personnel changes, pay adjustments, benefit elections, and to resolve discrepancies while adhering to departmental procedures
  • Monitor tax compliance systems for students and employees using ADP
  • Ensure nonresident payments are properly taxed in accordance with the IRS and local agencies
  • Assist in the preparation of 941s, W-2s, and 1042s
  • Provide oversight to areas of student employment, ensuring compliance with all federal, state, and local laws and regulations
  • Analyze, verify, and correct payroll data and timekeeping records
  • Provide timekeeping instructions and training to campus departments according to College policies
  • Review and audit compensation changes, deduction changes, calculate and re-calculate paychecks, print checks, and run various payroll reports to confirm accuracy
  • Calculate disposable income, process garnishments, and submit to appropriate state and government agencies
  • Reconcile and balance payroll general ledger accounts including gross pay, taxes, benefits, deductions, and accruals
  • Verify hours worked; overtime rates; sick, vacation, and/or holiday charges for each pay period according to the Office of Human Resources documentation and authorization
  • Prepare requests for deduction payments utilizing deductions registers and other payroll reports and reconciliations
  • Keep current with regulations and best practices, including changes in IRS guidelines, technology modifications in present or future systems/software used
  • Apply and interpret IRS, Department of Labor, state, and local regulations related to processing accurate payrolls
  • Update policies and procedures for any changes impacting payroll processing activities
  • Assist payroll manager with fiscal and calendar year-end close including annual audit
  • Train as backup to accounting technician III – accounts payable as needed
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice

QUALIFICATIONS:

  • High school diploma or equivalent required; professional coursework or post-secondary education preferred
  • Three or more years of accounting or business experience required; education or experience in payroll taxation and/or processing is a plus
  • Experience working with confidential information and the ability to maintain confidentiality is mandatory
  • Proven ability to utilize and develop computerized spreadsheets and word processing applications, and to learn, understand, and use various software products
  • Strong analytical skills including the ability to extract, analyze, and adjust data within multiple computerized systems
  • Solid organizational skills with the ability to prioritize multiple assignments, work independently, adapt to changing priorities and situations, meet deadlines, and follow through on completion of assignments
  • Excellent time management, communication, and customer service skills including the ability to establish and maintain effective relationships with members of the College community
  • Ability to consistently look for ways to improve and develop efficiencies and assist with them in the payroll process
  • Motivated self-starter with proven abilities to work independently with minimal supervision
  • Maintain punctual and consistent attendance to guarantee all payroll processes are complete according to the College’s payroll schedule
  • Must be accurate and extremely attentive to detail
  • Exercise good judgment in applying and interpreting policies, procedures, and regulations
  • Ability to make an impact through work as a member of a team and diverse community

KEY RELATIONSHIPS:

This position has significant interaction with students, faculty, staff, and off-campus business partners.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary. This position is located at 173 Main Street, Waterville.
