JOB SUMMARY

The Office of the Registrar at the University of Connecticut is seeking energetic, self-motivated individuals for a full-time, permanent Registrar Specialist position operating under the direction of the Assistant Registrar for Scheduling and Curriculum Services. This position is primarily responsible for creating, updating, and maintaining the schedule of classes and events and offering administrative and technical support to academic departments, university and student groups, and regional registrar staff. Additionally, this position will be tasked with supporting the Assistant Registrar to review current business practices within the scheduling section and make recommendations for improvements to increase effectiveness and efficiency.

DUTIES AND RESPONSIBILITIES

The Registrar Specialist will serve as a primary contact for creating, maintaining, and updating the schedule of classes and events for the Office of the Registrar. This position will communicate with academic department scheduling staff and other customers to ensure timely and accurate updates to the schedule of classes. This position will be required to have a holistic understanding of the scheduling process and the way that the schedule of classes impacts and is impacted by the practices, processes, and policies of other areas of the Office of the Registrar and the university as a whole.

This position will participate in the implementation, documentation, maintenance, and support of the scheduling modules of the Oracle Campus Solutions student administration system and other software systems related to scheduling. The Registrar Specialist will be responsible for running and assisting in the development of clean-up reports that will be used to maintain the integrity of the schedule of classes. The Registrar Specialist will provide front-line support to the university scheduling community as well as participate in the development of the Registrar's back-office business processes as they relate to the scheduling of classes and events. This position will provide technical and administrative support to members of the Registrar’s Office and the university at large to facilitate the maintenance of the schedule of classes and events.

In addition to ongoing tasks and duties, the Registrar Specialist will be responsible for special projects which may be short- or long-term and which require both technical understanding and broad knowledge of Registrar functionality. This position is responsible for coordinating these projects with special attention given to accuracy, compliance with regulations, policies and procedures, and the provision of superb customer service. This position keeps abreast of changes to university policies and procedures in relation to functions of the Registrar’s Office and in abidance with Senate policies and FERPA guidelines.

MINIMUM QUALIFICATIONS

  1. Bachelor's degree and two years of experience or equivalent combination of education and experience.
  2. Experience with the use of student information systems, scheduling software, electronic workflow systems, and office productivity software.
  3. Demonstrated professional experience in communicating information in numerical and narrative form.
  4. Strong organizational and time management skills, along with excellent written and oral communication skills.

PREFERRED QUALIFICATIONS

  1. Three years demonstrated professional experience in an office of the registrar environment.
  2. Experience with Oracle Campus Solutions, Ad Astra, Perceptive Content, Microsoft Office, electronic workflow advance features/functionality and/or FileMaker Pro.
  3. Experience working within a higher education environment.
  4. Previous experience in and familiarity with business processes and procedures as they relate to the functions of a Registrar’s office, particularly activities related to academic and event scheduling and enrollment services.
