Job Description:

General Description:
The purpose of this position is to ensure the smooth operation of the Languages, Arts, and Social Sciences (LASS) division of the Woodbridge campus and to assist the dean in support of the campus division and college’s arts programs (called NOVAarts). The individual who fills this position provides primary support to the dean in campus division and collegewide pathway roles; it manages classified staff in support of the LASS division; it manages all accounting and budgetary codes for the LASS division; it oversees personnel files for full-time and adjunct instructors; it is also responsible for assisting the dean, associate deans, and campus enrollment coordinator to schedule courses offered each semester in LASS division as well as creating the classroom schedules. This position also supports the college’s NOVAarts programs with advisee and/or mentor assignments, events planning, website and publication updates, administration of scholarships, recruitment events, general advising, collection and organization of pathway and discipline group documents in Canvas, and taking minutes at relevant meetings.

Duties and Tasks:
The senior admin will perform a wide range of administrative support functions for the dean, including managing operations for the Woodbridge campus LASS division and also supporting the dean’s college-wide role as pathway dean for NOVAarts. The senior admin will assure that all WO LASS division and NOVAarts pathway units for which the dean is responsible are provided with qualified and properly trained support and assistance to meet their needs at any given time, and coordinate the management, communications, and operational functions by performing multiple support tasks. As a core member of the LASS division leadership team, the senior admin will be responsible for the leading and managing the administrative support operations for all functional units of the LASS division, with a primary support to the Office of the Dean. The senior admin will provide, as needed, administrative support and assistance in adhering to established policies and procedures that pertain to the division, campus, and college guidelines of programs and services. The position interacts with students, faculty and staff within the College, division, and pathway, and externally with members of the community, alumni, and other professionals. The candidate should have excellent customer service skills.

Special Assignments:

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

  • Bookkeeping and Accounting skills for maintaining division budget and payroll
  • Computer skills including Windows, word processing, spreadsheets, Internet and e-mail
  • Skills to operate standard office equipment including, but not limited to, PC’s, fax machine, photocopiers and telephone equipment
  • Ability to multitask

Minimum Qualifications:
  • Associate’s degree
  • Experience providing academic and programmatic administrative support in a college setting
  • Experience in bookkeeping or accounting
  • Experience with MS Office.

Preferred Qualifications:

Preferred Qualifications:
Bachelor’s degree. Experience with Student Information System (SIS), and Administrative Information System (AIS) or equivalent budgeting software. Supervisory experience. Experience with arts administration support or arts programs in an academic setting.
