Clerk II - Current RecordsType of Position:
The Clerk II – Current Records is responsible for the maintenance of the graduation process, current records, as well as other related duties in the Office of Admissions and Records. Work is performed under direct supervision of the Director of Admissions/Registrar and includes performance of basic data entry in the Banner Student system, DegreeWorks and Xtender. Duties and responsibilities shall include, but are not limited to the following:Qualifications:
1. Act as a receptionist for the department: Includes greeting customers and directing incoming calls and visitors to appropriate area. 2. Receive and verify degree plans for graduation. Review and process online graduation applications. Maintain graduation spreadsheet, email communications with prospective graduates and work commencement exercises. 3. Assist Director of Admissions/Registrar with the review and maintenance of the degree audit system to include scribing of degree plans. 4. Process all drops and withdrawals. Maintain alpha record of received drops and withdrawals by semester. 5. Assist with the non-payment drop process; by updating the student record for reinstatement and registration. 6. Updates information in student records to include change of majors, name changes, and address changes. 7. Process all deferments and enrollment certifications. 8. Process time cards and personnel paperwork for student workers each month. 9. Assist with the responses to department emails related to admissions, transcripts, graduation, holds and etc. 10. Assist with the processing of transcript requests and preparing for mailing. 11. Assist with the scanning and indexing of admissions and records documents into imaging system. 12. Cross train for other functions in the Admissions and Records Office. 13. Perform other relevant duties as required.
High school diploma or equivalent required; Associate degree in a related field preferred. Minimum of two years of general clerical experience in a public contact position required. Demonstrate experience with Excel spreadsheets. Experience in college or university Admissions and Records Office preferred.Salary:
Ability to operate personal computer, copier, scanner/indexing, and other standard office equipment. Must demonstrate good organizational and interpersonal skills. Ability to use MSOffice products including Excel spreadsheets.
Requires sitting, walking, and seeing. Requires frequent standing, pushing, pulling, lifting and carrying objects up to 25 pounds; operating a calculator, personal computer and various office equipment. Requires frequent stooping, bending, sorting and filing. This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
