Job Summary:

Performs a variety of complex administrative tasks involving some discretion and requiring moderate amounts of independent judgment related to the oversight of the daily operations of a University administrative unit.

Duties/Physical Demands:

Monitors and reviews operations of unit; ensures smooth work flow; ensures work product meets professional standards. Serves as informational resource; investigates and resolves problems or difficulties related to area of expertise. Assists University staff, faculty, and students; answers inquiries and provides information. Gathers and analyzes statistical information regarding department's programs and activities; produces reports.

Building Point of Contact: Presser Hall
• Oversee room access by handling and distributing keys to classrooms, offices and studios.
• Develop and maintain locker assignments for music students.
• Coordinate with custodial staff.

Room Scheduling
• Utilize university systems to schedule spaces for recitals, rehearsals, jury examinations, and other departmental needs.
• Liaise with Conference Services in scheduling spaces for external events such as high school band camps.

Recruitment & Auditions
• Manage database of prospective student contacts.
• Communicate with prospective students to explain the audition process, and to determine audition dates for admission to the program.
• Oversee preparations for Saturday, in-person audition days. Work overtime hours on four Saturdays per academic year, to host auditions.
• Work with Department Chair and Chief Departmental Advisor to prepare written correspondence (e.g., admission decisions; music scholarship offers) for undergraduate applicants.
• Work with Department Chair and Director of Graduate Studies in communicating audition results to graduate applicants. Prepare graduate student assistantship nominations for incoming and continuing students.
• Oversee preparations for in-person recruitment events.

Records
• Maintain confidential personnel files for undergraduate and graduate students.
• Work with Associate Chair to assign academic advisors to undergraduate students.
• Liaise with the Department Chair and Chief Departmental Advisor in monitoring student progress

Communications
• Maintain listservs for faculty/staff, and music students.
• Monitor the department’s entity email account.
• Represent the department in a professional manner in the office, during on-campus recruitment events, and audition days.

Other duties as assigned.

Minimum Qualifications:

Requires nine months of coursework or training beyond high school in Business Administration and three years of related experience, or an equivalent combination of education and expertise

Desired Qualifications:

Knowledge of Miami University operations, policies and procedures.
Familiarity with music discipline.
Ability to work independently.

Knowledge, Skills and Abilities

Knowledge of unit's operations, policies, and procedures. Knowledge of computer and office applications Research skills.
