Position Responsibilities: Budget and Grants Management● Coordinate departmental and project/grant budgets to ensure proper expenditures and balanceso Perform quarterly budget projections for several budgets, estimating year-end balances of accountso Process reallocation of charges to assure timely and accurate budget managemento Work closely with Sponsored Research Services and Payroll on compliance and procedures regarding contractso Reconcile monthly P-Card and reimbursement expenses for all associated Faculty & Staff through PeopleSofto Coordinate payments of all invoices across various funding sources● Designs, organizes, maintains and interprets specialize and custom forms, spreadsheets records, and reports ● All aspects of payroll o Manage and submit payroll authorizations for students, staff and faculty in compliance with contracts and payroll protocolso Maintain E-time time-clock system for student and other hourly employeeso Pay external people (e.g., teachers) stipends as required for grants● Coordinate with faculty to support administration and reporting for grants. Information Management● Oversee personnel files including confidential and non-confidential material (paper and electronic files/records). Maintain recruiting files for new faculty and staff.● Manage MOUs with external partners, including area high schools; send out announcements, guidelines and compile applicant files, etc.● Organize events: (i.e. Open House, seminars, workshops) including preparation of schedule, rooms, catering, set up etc.● Attend monthly Department meetings, record meeting minutes, and distribute information to stakeholders.● Coordinate with the University marketing team and associated faculty to update institute brochures, publications and websites.● Prepare other reports and publications as required.● Maintain and update the ISE and STEM Ed website, coordinating with all locations and CU web services. General Office Activities● Reserve rooms and schedule group meetings for faculty as needed.● Answer phones and provide student/faculty support.● Perform other duties incidental to the work described herein and as assigned.● Oversee general office needs in terms of supplies, equipment function and space utilization.● Assist with other projects, administrative duties, and initiatives as assigned● Performance of above duties require you to be at work on CampusMinimum Qualifications: :

- Associates Degree in related fields with previous experience
- 3-5 years of progressive office experience
- 3-5 years of progressive office experience, Intermediate skills in Google Suite and Microsoft Office Suite, and Prior experience and understanding of budget management and accounting principles
- Bachelor’s Degree, Office Management Experience and Certificates for professional development related to position.
