Job Description

Reporting to the Associate Dean of Student Affairs, the Administrative Assistant performs day to day operations for two departments - the Office of the Career Services and the Office of Civic and Student Engagement.

35% - Performs day-to-day operations for The Office of Student & Civic Engagement (70%) and The Office of Campus Recreation (30%)– including, but not limited to, directing all incoming

and outgoing telephone calls, directing walk-in traffic, making appointments, record keeping, processing all incoming and outgoing mail, answering general questions about the univer

sity, completing purchasing and requisition documents, purchasing supplies, composing routine correspondence and proofing of final documents prepared for signature or for

distribution.

10% - Provides oversight to the front-line areas of Student & Civic Engagement and Campus Recreation suite by monitoring the front desk and lobby area, the workroom and storage room.

Greets and helps students and visitors to these areas with issues/concerns, answers questions, routes mail, answers telephone, etc.

10% - Assists students with frontline technical issues with online student platforms; including, but not limited to, Engage (by Campus Labs). Assist staff with the implementation of online

and face-to-face orientation and assist students with completing the registration processes and/or remove holds.

10% - Relieves the Associate Dean of Student Affairs, Student & Civic Engagement staff, and Campus Recreation staff of routine details and provides the interpretation of written policy in

their absence, as the situation requires, especially in regards to sponsorship, postings, or student travel inquiries. Keep detailed records and coordination of student travel and risk

management forms and paperwork.

10% - Indirectly supervises student workers and ensures excellent customer service is delivered to students, faculty, staff, community members, and guests.

10% - Maintains data, which includes monthly budgets and financial status reports, departmental records, student tracking, and records on personnel and students.

10% - Arranges travel for staff and assists student organizations with appropriate travel paperwork. Monitors the departmental budget by tracking expenses, reconciliation, and preparing purchase requests and travel requests/vouchers. Maintains office supplies by ordering, procuring, and taking periodical inventory of supplies. Stays abreast of all related policies and procedures involving purchases. Serves as contact person for the office equipment repair. Prepares EPAs and related personnel documents.

5% - Other duties as assigned

Summary:

Works under general supervision and provides advanced administrative support work.

Responsibilities:

Education and Experience:
-High school diploma or equivalent combination of education and experience.
-Four years of related experience.

Preferred Qualifications:

-Prior experience working in higher education.

- Demonstrated experience using and familiarity with computer applications; including, but no limited to, word processing, spreadsheets, and database applications.

- Ability to multi-task, with multiple projects and responsibilities, and work cooperatively with others.

- Ability to work with sensitive information and maintain confidentiality.

- Familiarity with FERPA and other applicable student privacy laws.

- Must have demonstrated experience using and familiarity with computer applications; word, excel, etc.

- Must have demonstrated experience in the successful completion of multiple projects and responsibilities.
