The Department of Radiology has an opening for two full-time University Staff (unclassified) Program Assistant I positions.

This role will report to the Administrator and will provide high-level administrative support to administration and faculty members in the Department of Radiology in addition to assisting with clinical and financial operations. This includes research, analysis, evaluation and recommendations as appropriate to complete assigned tasks and special projects. This position works closely with the Management team and the Director of Finance in the Department of Radiology in the ongoing efficiencies of the Department as they pertain administration, research, financial oversight, credentialing, travel coordination and reimbursements. This position will also provide administrative and operational support to the Radiology faculty to assist with operational items as assigned. The Program Assistant I will provide backup support for the Department’s other Program Assistants on the Administrative team.  As such, we seek an independent, detail-oriented, organized and analytical team member who will excel at the duties and responsibilities outlined below.    

Examples of Work Performed:

  • Working with the Administrator and Payroll Manager to develop and implement an efficient and simplified process for internal faculty leave reporting and record keeping for the monthly time collection process.
  • Working with CU Medicine accounts payable to ensure that invoices are submitted and processed in a timely manner to assure appropriate payments.
  • Working with the Radiology Grants and Contract Administrator to process department Research billing, including follow up and tracking of payments received.
  • Working with Radiology section chiefs to maintain that adequate clinical coverage is available and schedules are entered accurately in the UCH AMION scheduling system and updated as needed.
  • Working with faculty committee members to support the missions of the department.
Business Management Support

    Acting as the leave recorder for accurate tracking of faculty leave for reporting in HCM time collection.Acting as a lead for department procurement and contract processing in CU MarketPlace assuring that appropriate funds and descriptions are used.Entering monthly invoices and processing for payment in CU Medicine’s accounts payable system.Serving as a liaison between the faculty and the Administrator for financial reporting.Keeping current on changes and updates to University’s policies and procedures; providing information on these updates to the administrative team. Developing and maintaining appropriate reports, forms and administrative documents for accurate record keeping. Performing data entry as needed for updating records, forms and schedules.Performing inventory purchasing and tracking for all office and administrative supplies, resupplying as necessary.
Administrative Support for Faculty

    Acting as lead for travel coordination and reimbursement. Overseeing the funds available for these activities.Managing Vice Chairs and Section Chiefs calendars as needed to coordinate and plan meetings, conferences and educational lectures.Taking on special projects and assignments to provide analysis on processes, develop new processes, gather data for special reports. Serving as a lead for faculty recredentialing process. Proactively assist faculty to avoid lapses in privileges. Acting as lead for meeting coordination for faculty and department leadership, including but not limited to, developing the invitee list, preparing meeting materials, meal planning and securing meeting location.Serving as liaison and administrative support for faculty involving career development, research projects and other topics as assigned.
Other Duties

    Providing mail retrieval and distribution and general office support duties as needed. Cross coverage for other administrative Program Assistants, including the Chairman’s program assistant as needed.Other duties as assigned.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $49,104 to $54,144.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

 This position is eligible for overtime compensation.

Qualifications
Minimum Qualifications:

Human Resources will insert minimum qualifications here – experience, education, licensure, or certifications.

Four years of experience in an occupational field related to the work assigned to the position.

Required: Applicants must meet minimum qualifications at the time of hire.

 Substitution-  Appropriate education will substitute for the required experience on a year-for-year basis.
