Department Summary:

The Correctional Medicine Department is a non-academic service-line under UNTHSC’s Office of Finance and Administration. This Department oversees and manages two Comprehensive Medical Services contracts with Federal Bureau of Prisons (BOP): Federal Medical Center (FMC) Fort Worth – male facility and FMC Carswell – female facility. Correctional Medicine serves as the prime-vendor contractor responsible for providing inpatient/outpatient facility and specialty physician services for these two FMCs. We provide additional on-site specialty clinics and other locum tenens services at each prison facility. We have an established Correctional Medicine – Provider Network of local hospitals, outpatient centers and ambulatory health clinics that we subcontract with to provide health care services for our contracts. We also utilize our HSC Health faculty practice plan to provide a number of these specialty services. Both of our federal contracts are fee-for-service arrangement with rates based a percentage premium to the current Medicare Fee Schedule. Each contract is awarded under the terms and conditions of the Federal Acquisition Regulation. These are 5-year service contracts with a Base Year and 4 one year option periods. We were recently awarded a new contract effective on May 1, 2021 for the FMC Fort Worth facility and we are currently operating under Purchase Order extension for FMC Carswell until a new contract is awarded. We currently employ 28 staff who provide support services for four key areas: Clinical Operations; Business Operations; Financial Operations, and Administrative Operations. Correctional Medicine also has other internal groups that provide support for our operations including UNT’S Office of General Counsel, Business Service Center, Finance, ITS, Media Relations and Institutional Compliance. Position Overview:

The Correctional Medicine Department at the University of North Texas Health Science Center is seeking to hire an Administrative Specialist to join our team. Responsibilities of the position include but are not limited to: * Providing administrative and front office duties and responsibilities for CMD’s clinical, business and finance operations to include clerical, office automation, and communication support. * Assist with processing payment requests, preparing refunds, contract administration, and documenting contract files to support CMD business and finance operations. * Research and prepare written and oral responses to inquiries from internal and external customers regarding status of accounts payable, accounts receivable, and other contract information requests. * Assist with coordinating travel and expense reimbursements for faculty and staff assigned to CMD with the UNT’s Business Service Center (BSC) including processing budget verification requests, signature authorizations, and scheduling reservations requests utilizing UNTHSC’s designated on-line travel system. * When necessary, assist the Clinical Division in scanning and processing medical records requests and other clinical documentation necessary to support CMD contract operations. * Assist with maintaining detailed electronic and paper filing system for CMD records including archiving appropriate business and financial records to support CMD contract requirements and internal/external audits. * Create and maintain positive and collegial working relationships with all internal and external providers as well as UNTHSC departments. * Attend professional developmental training and meetings related to computer support, office automation, and office communication and apply knowledge and findings to assigned job duties and responsibilities. * Serve as the department administrative representative for UNTHSC campus initiatives and assist with other department projects, meetings, proposals and other duties as assigned. * Assist the Financial Manager, Business Office Manager, Clinical Manager and/or Executive Director on special projects assigned by UNTHSC Executive Staff as well as all other duties as assigned.

Minimum Qualifications:

Bachelor’s degree and one (1) year of related experience; or equivalent combination of education and experience.

Knowledge, Skills and Abilities:

  • Considerable knowledge of general office procedures and practices.
  • Knowledge of University policies and procedures related to the area of assignment.
  • Skill in making mathematical calculations and computations.
  • Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to establish and maintain good working relationships.
  • Ability to communicate effectively orally and in writing.
  • Ability to work without close supervision.
  • Knowledge of safe working procedures related to work performed.

Preferred Qualifications:

The preferred candidate will possess the following additional qualifications: * Experience in providing administrative support for a health care business office with proficiencies in personal computers, office automation and communication technology.
