Educational and Experience Requirement:

Associates Degree in related field. Three years related experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Performs advanced specialist duties for the Registrar’s office.

Primary Responsibilities:

Evaluates degree plans with a working knowledge of all degree programs (majors/minors, etc), their specific requirements, and calculates grade point averages or grade point deficiencies. Communicates information to students, advisors, and departments. Processes various curriculum changes received in Banner in accordance with the various restrictions associated with degrees, majors, and minors. Effectively communicates status of degree candidates to the appropriate support staff including Associate Deans, Academic Deans, and Associate Provost. Processes degree applications as they apply to specific terms. Maintains individual student degree plans by processing requested substitutions to the student plans using Degree Works. Identifies degree candidate’s initial status as well as final, end of term award, or denial of degree decision. Generates reports through Cognos software to verify accuracy of student data. Maintains scanned documentation of student confidential records. Responsible for key components in preparation of commencement. Confirms candidate maintained status of degree eligibility. Verifies degree candidate names for the commencement program, graduation honors, and preparation of seating cards for applicable candidate participation along with honors recognition. Prints eligible candidate diplomas and prepares for mail. Attends all ceremonies. Physical exertion is necessary leading up to the ceremonies, during each ceremony, and at the conclusion of the events. Attendance requires the ability to stand for long periods of time. Responsible for set-up and breakdown of various elements for commencement. Reviews and interprets advisor’s notes along with submitted exception forms. Maintains records of conversation exchanges with students. Thorough and professional written and verbal communication is required. Must comply with Family Educational Right to Privacy Act (FERPA) regulations and exercise a high level of confidentiality in regards to student records. Performs other related duties as assigned.

Other Specifications:

Responsibilities require a high level of organization and focus as well as analytical skillset. Written and verbal communication is an essential component of this role. Attentive to accuracy in details in order to comply with federal and state audits. Meet deadlines while maintaining quality of work with continuous interruptions. Comprehend computer software easily and is fluid in Excel and Microsoft Word. Seek guidance when needed and utilizes available resources for clarification. Dependability is crucial. Maintain roles associated with the job responsibilities of the Graduation Team; not to explore the boundaries of the Texas Student Initiative (TSI) or Registration staff without directives. Maintain integrity as a member of the team that serves the critical role to campus. Familiarity with the Texas Higher Education Coordinating Board as well as the Texas General Education Core Curriculum WebCenter is helpful.
