Assistant Director of Program Management, IBP - McDonough School of Business - Georgetown University

At Georgetown University's McDonough School of Business, our mission is to build global business knowledge and inspire ethical leaders to serve the common good.

The Assistant Director of Program Management is principally responsible for overseeing all administrative and operational activities related to the successful planning and execution of the Master's in International Business & Public Policy Program (IBP), and other executive education programs that could be assigned, depending on the department's portfolio of programs. Reporting to the Associate Dean for Executive Programs in MSB's Office of Executive Education and interacting often with faculty, academic administration and staff, and internal and external stakeholders, the Assistant Director of Program Management has duties that include but are not limited to

Academic Advising and Student Services

  • Collaboratively participate and assist in the problem-solving system for addressing and resolving student life cycle issues, including, but not limited to, graduation/program requirements, academic program policies, course registration, academic and financial holds, leaves of absence, withdrawals, community standards, student life, accessibility, student disciplinary actions.
  • Communicate and provide technical information on program requirements, university policy and procedures, and non-academic factors affecting academic performance
  • Collaboratively support academic accommodations from students
  • Oversee and manage all student services activities
  • Develop and oversee operations for the student life cycle
  • Process student registration status changes and ensure all students are accounted for regarding enrolment status and other data collection needs
  • Meet monthly with class representatives and provide guidance on student services
  • Serve as primary point of contact for the University's Office of Global Services for international students
  • Collaboratively develop, distribute, and review student feedback surveys with an eye for program improvements and student retention; and monitor quality of program implementation

Program Implementation and Operations
  • Develop, implement, and monitor program management processes, implementation, and policy compliance from conceptualization to execution for executive education programs, ensuring compliance
  • Manage logistical and operational communication to students, administrators, vendors, faculty, and other university stakeholders; and provide weekly programmatic and student services updates
  • Manage and execute the logistics for program deliveries
  • Secure orientation location, assist guest speakers with logistics, negotiate and collaborate with catering teams, and monitor and manage additional logistical details
  • Collaboratively support the planning, development, and logistics of the Opening Residency, Mid-Program Residency, and Capstone Projects; research comprehensive plans for international and domestic residencies; and take responsibility for fall programmatic and logistical details
  • Guide faculty with acquiring additional assistance for tech support or other faculty services needed for content delivery; and assist in communicating (and managing) complex scheduling issues for faculty and administrators
  • Develop and maintain and or/assist with the production of online learning and information management program resource repository
  • Provide collaborative guidance for academic calendar and course schedule creation
  • Develops and maintains a shared program folder for internal executive education use
  • Assist with the development and maintenance of student and faculty handbooks
  • Provides advice, problem-solving assistance, and answers questions regarding program goals and policy interpretation for faculty, staff, students, program partners, and university stakeholders
  • Work with other university colleagues to enhance and develop vendor relationships for programmatic needs
  • Develop faculty resources CANVAS page for easily onboarding faculty to program norms, processes, and student expectations
  • Ensure accurate program information, including program dates, course titles, meeting times, and teaching faculty; and collaboratively notify the University Registrar of any changes
  • Maintain up-to-date scholarship spreadsheet; update financial aid, admissions, and finance team changes in student enrollment
  • Works with Admissions team to develop and maintain a "handoff" of prospective students to enrolled students
  • Notify University Registrar, Financial Aid, Admissions, Career Services, and Alumni Relations of student status/program enrollment changes

  • Bachelor's degree
  • At least 3 years of program management experience in a professional setting requiring the organization of large volumes of data, meeting deadlines, completing projects, and working within a team
  • Expert use of MS Word, MS Excel, and MS PowerPoint
  • Capacity for understanding and working with financial plans
  • Ability to function independently - little to no supervision in majority of tasks - as well as with thorough discretion, given much of the information related to students (both applicants and degree candidates) and is highly confidential and protected by law
  • Willingness and availability to work one weekend per month (with subsequent Mondays off) in support of the IBP program modules, which may start and end on weekends
  • Willingness and availability for travel to international locations 10% of the time

Preferred qualifications
  • University work experience
  • Knowledge of and familiarity with CANVAS
  • Familiarity with SLACK and Google products
  • Deep comfort and affinity working with and learning a variety of software
