Executive Assistant to the Chancellor - Ancilla College of Marian University

Job Description:

Working closely with the Chancellor, the Executive Assistant promotes Marian University’s Catholic Franciscan mission and identity by completing a variety of administrative and coordination duties including, but not limited to, those outlined below. The incumbent will serve as the primary staff member supporting the work of the Chancellor, managing the Chancellor’s calendar, arranging the Chancellor’s travel, working with the Chancellor on presentations and events and will also serve as the Board assistant secretary and liaison.


Essential Duties and Responsibilities:

  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan Intellectual traditions in courses, programs, and services.
  • Staff the Office of the Chancellor, welcoming visitors, answering telephones, coordinating communication and correspondence, and maintaining the professionalism of the office
  • Manage Chancellor’s office budget, including processing the expenses and processing payment of expenses
  • Organize and coordinate events
  • Work with other offices planning events and keeping the Chancellor informed of those events
  • Assist with travel arrangements
  • Accomplish general office responsibilities, including communication, answering phones, managing office mail, greeting guests, ordering office supplies, updating office files
  • Serve as assistant secretary to the Board of Trustees and prepare minutes of those meetings
  • Serve as coordinator for board of trustee’s meetings
  • Coordinate preparation of the contents of the board briefing book
  • Facilitate board committee assignments
  • Maintain board prospects spreadsheet
  • Maintain board compliance documents
  • Take notes at cabinet meetings
  • Draft correspondence, background materials, reports, data
  • Review forms requesting the Chancellor’s authorization
  • Other duties as assigned
  • Required Qualifications:

    Required Qualifications:

  • Bachelor’s degree and 5 years of relevant experience or comparable combination of education and experience preferred
  • Knowledge of office administration preferably in a college or university setting
  • Proficiency in spoken and written English
  • Proficiency with Word, Excel, PowerPoint and working knowledge of other programs in the Microsoft Office suite
  • Minimum of three years of experience with confidential materials
  • High level of personal integrity
  • Evidence of success working with diverse audiences and people
  • Strong writing skills
  • Strong organizational skills
  • Professional demeanor
  • Strong ability to collaborate and work as a team player with both internal and external stakeholders of the University
  • Ability to take initiative and implement responsibilities with minimal direction/supervision; ability to seek information/learn when new knowledge or skills are required
  • Innovative and creative problem-solver with ability to challenge the status quo
  • Work Schedule: Office hours are 8:00 a.m. to 4:30 p.m. Monday through Friday. This position, however, will require work outside the normal office hours also.
