Job Description:

Working closely with the Academic Director and the Student Success and Engagement Lead Director, the Administrative Assistant for Academic and Student Success promotes Ancilla College of Marian University’s Catholic Franciscan mission and identity by providing a warm and welcoming environment and administrative support for Academic Affairs and Student Success and Engagement. S/he assists in communicating with and supporting all Academic and Student Success and Engagement staff. The person hired for this job must be detail-oriented, proficient learning and using a variety of technology, and able to maintain the strictest confidentiality regarding data and information.


Essential Duties and Responsibilities:

Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity and integrating the Catholic Franciscan intellectual traditions in all services.Manages the office in terms of providing office coverage, managing communication with a variety of stakeholders, and maintaining budget information. Supports the Directors by managing calendars, organizing meetings, preparing agendas/materials, and taking and distributing minutes.Supports the Marian University Student Conduct System for Ancilla students which includes scheduling, managing correspondence, maintaining the filing system, preparing summary records, and tracking completion of sanctions throughout the year.Tracks campus safety reports and residence hall incident reports on a weekly basis and coordinates information with Marian University – Indianapolis.Assists in the communication of needed student accommodations to faculty on behalf of the Health Center and the Counseling and Consultation Services.Assists in the maintenance of the Division’s web pages and information.Directly supervises work-study students, as needed.Tracks all withdrawals and graduating students in order to maintain student files.Perform other duties as assigned.

Required Qualifications:

College degree is preferred; however, will consider candidates with a high school diploma.Exceptional writing, typing and proofreading skills.Proficient with Microsoft Office suite of products including but not limited to Outlook, Word, Excel, and Power Point.Willingness to learn and become proficient in commonly used office and institutional productively software, student/faculty learning platforms and technology such as Canvas, WebEx, Digital Measures, etc.Excellent problem-solving skills and effective follow through of all delegated tasks.Excellent organizational skills and attention to detail.Ability to work independently with minimal guidance and direction.Effectively prioritize and execute tasks in a high-pressure environment.Able to work both independently and in a team environment.Exhibit professionalism and high ethical standards for maintaining confidential information.Review of applications will begin immediately and continue until the position is filled.
